User Navigation Guidance for Cost Analysis Access System

Step 1

Logon to system using UCL Intranet ID and password (see screen 1). Note only authorised staff (departmental administrators, HoDs, Deans, acting Deans/HODs, Provost, Vice Provosts, deputy Deans/Hods) have access to this system.

Step 2

First time login screen will prompt a user for an employee number. Input Employee number and press 'Submit' button (Screen 2) or if employee number is not known, click on 'Help with Employee Number?' button (Screen 3) to search by first or surname or both.

Step 3

Details for employee will be loaded once data is retrieved from Resource Link. Note staff outside of administrator's hierarchy are not visible. Tick individual boxes under column 'Access' to grant employee access to Cost Analysis Access Report for the units. Use can click buttons 'Select All' to select all boxes at one go. Access to Professorial/Grade 10 can also be granted using tick boxes under column Prof/Grade 10 (Screen 4).

Similarly, access can be granted to individual cost code (Screen 5) by inputting cost codes and ticking relevant access.

To save employee access, click 'Save' button. Note, record must be saved prior to printing the PDF form for Finance Authorisation.

Step 4

Click on printer icon to generate a PDF form and send it to Christopher Te Whata in Financial Analysis and Reporting, Finance Division.

Others:

Removing access for a member of staff - tick box under column 'Delete' against the unit and then save the record. To grant access again, untick delete box and tick access box.

 

Frequently Asked Questions:

1. I see an invalid authorisation message after I log in.

Reason: Only users with UCL roles DA/ HOD/HODCC/DEAN/PROV/VP/ADEAN/AHOD... are allowed access to this system.

2. I cannot see a member of a staff I want to give access.

Reason: User can only see staff at their hierarchy or below.

3. I have ticked boxes on screen and click on Print icon, I do not see a PDF form for download.

Reason: Ensure web page is saved by clicking on 'Save' button before clicking on the printer icon.
