MyLearning: Frequently Asked Questions

About MyLearning

What is MyLearning? 

MyLearning is an online platform for all your learning activities. It allows us to align any learning tasks with MyHR creating a one-stop-shop for MyFinance, MyHR, My reports, and MyLearning. You can log on to MyLearning via a single portal using your UCL password (using single sign-on).

You can contact the relevant training providers at the following email addresses:

You will be able to view all the courses available via the UCL Learning pages but you will only be able to enrol on courses where you meet the eligibility criteria (you will find the criteria provided in the course details). If you do not meet the eligibility criteria but are interested in a course, you can contact the training provider. 

Your manager will be able to view details of the courses you enrol in and any learning paths you create. 

Please note: For UCL employees, individual training records are being migrated from LERS to MyHR, this includes records manually added by users. However, it has not been possible to migrate accurate learning histories from Moodle (one of the systems for online training courses). This means some learning that you have previously completed might need to be manually added using the Manage my External Classes section of MyLearning.

Enrolling using MyLearning

I am a UCL employee – How do I enrol on a course?

Go to our centralised UCL learning pageFind and select the course you would like to enrol on and Click ‘enrol’. For classes that are planned i.e. with no dates click the link that says 'Register interest'. 

Please note:  if the course is full you will be given the option to join the waitlist. 

Important: You must be on the UCL network to use the Mylearning booking system. To enrol on a course remotely please use Desktop@UCL or the UCL VPN.

I am a student/non-UCL employee – How do I enrol on a course?

Go to our centralised UCL learning pageFind and select the course you would like to enrol on and Click ‘enrol’. For classes that are planned i.e. with no dates click the link that says 'Register interest'   

  • You will be asked to enter your UCL ID and password. If you don’t already have a MyLearning record, this will automatically be created and you will be asked to log in again in the next 5 minutes. 

  • You will be taken to the course page in MyLearning (‘click enrol’). 

  • You will then receive a notification that you have enrolled in the course.

Please note:  if the course is full you will be given the option to join the waitlist.

Do I need to provide PTAE information when enrolling in a course?

This should only be completed for courses that have specifically requested this information otherwise, you may skip this section and submit your enrolment.

I cannot enrol successfully for a course – why?

If you are having difficulties in enrolling in a course, please check that:

  • You are enrolling via UCL learning page

  • the enrolment dates are open for the class

  • you have an existing account created to access

  • you have not completed the course previously

  • you have checked the course description for any restrictions on who can enrol

  • you are using the VPN or Desktop@UCL

Please note: if you have completed an online course previously and now need to repeat it, you will need to re-enrol to replay the activity. 

If you still cannot enrol, then please contact the relevant Training Provider to investigate further
 

I have enrolled for a course but haven’t received a venue – why?

Venue information will be included in the course reminder emails that are sent closer to the date of each event.

Why does my manager receive a notification when I enrol on a course? 

Managers are able to see the details of their team’s learning, including being notified of any courses they enrol on. This provides managers will an overview of their team’s activities and learning ambitions.

Cancelling a booking

How do I cancel my place?
  • Log on to MyLearning.
     
  • Use the menu (top left) to navigate to UCL MyLearning, then MyLearning, and then Learner Home.
     
  • Under 'My Current Enrolments', click on the hyperlinked class title.
     
  • In the top right of the Class screen, select Unenroll from the Select an Action drop-down and click on Go.

Managing and recording your learning

I have completed a course but it is not showing in my learning history - how can I add it?

If this is externally completed training, it can be recorded by clicking “Manage my external classes” found at the bottom of the page on your MyLearning homepage.

If it is UCL delivered training, you should contact the relevant course provider if the record is not updated within 6 weeks of completion.

How do I view my enrolments and check I am enrolled?
  • Log on to MyLearning.
  • Use the menu (top left) to navigate to UCL MyLearning, then MyLearning, and then Learner Home.
  • Your current enrolments are under ‘My current enrolments’  
I have a query about a course but I’m not sure who is delivering it – how can I find out?

Course ownership can be identified by going to the Learning pages and searching for the courses which are grouped by the training provider.

How do I complete mandatory training? 

Please visit our mandatory learning webpage to find out more. 

If you have problems with the courses, please try using a different browser such as Firefox or Internet Explorer. 

What is the difference between a course, a class, and an offering?

A course defines the learning content for the training session i.e. Basic Excel Skills Training, whereas the class is the date and location the course will be delivered.

An offering is the format a course/class will be delivered in i.e. face-to-face, webinar, or online.

What is a waitlist?

If you have identified a course you would like to enrol on but there are no available places you can join the waitlist.  If a place becomes available you will be automatically offered a place and you will receive a notification to confirm this.

What is an interest list?

If there is not a space on an existing class or a class has not yet been scheduled, you can sign up for the interest list. Training providers will contact individuals on an interest list when a class is scheduled. Please note: this option may not apply to all courses. 

What is a learning path?

A learning path is a place for you to record courses that you would like to complete as part of your learning journey. Your manager will also be able to view the details of your learning path. 

How do I add an external/missing course?

You can do this by clicking “Manage my external classes” found at the bottom of the page on your MyLearning homepage. 

Managing your team

Can I have information about who has completed training in my department?

Reporting queries on courses i.e. mandatory training can be directed to the HR Reports team at hr_reports@ucl.ac.uk or you can visit their website
