MyLearning

Known Issue: We have identified an issue with enrolling on courses directly in MyLearning. We are aiming to resolve this issue this week.  You can continue to enrol on courses by visiting our UCL Learning webpages.  

What is MyLearning?

MyLearning is an online platform for all your learning activities. It allows us to align any learning tasks with MyHR creating a one-stop shop for MyFinance, MyHR, My reports and MyLearning. You can log on to MyLearning via a single portal using your UCL password (using single sign-on).

MyLearning will replace both the Single Training Booking System (STBS) and Learning Electronic Records System (LERS) (NB: STBS and LERS are now unavailable). Through MyLearning you will be able to enrol on both face-to-face training and online courses. Please note we have identified an issue with enrolling on courses directly via MyLearning which we are aiming to resolve this week. You can still enrol for courses via our UCL Learning webpages.

Training courses available in MyLearning are run by the following training providers:

You will be able to view all the courses available via the Course Catalogue section within MyLearning but you will only be able to enrol on to courses where you meet the eligibility criteria (you will find the criteria provided in the course details). If you do not meet the eligibility criteria but are interested in a course, you can contact the training provider. 

Your manager will be able to view details of the courses you enrol onto and any learning paths you create. For information about learning paths see our learning path FAQ.

Please note: For UCL employees, individual training records are being migrated from LERS to MyHR, this includes records manually added by users. However, it has not been possible to migrate accurate learning histories from Moodle (one of systems for online training courses). This means some learning that you have previously completed might need to be manually added using the Learning History section of MyLearning.

Our UCL Learning web pages offer an alternative way of browsing learning opportunities that are offered at UCL.  It will be possible to search for courses on this page and navigate to MyLearning to enrol on the course where you meet the eligibility criteria. These webpages can be found on the Organisational Development pages.

I am a UCL employee – How do I enrol on a course?

We have identified an issue with enrolling on courses directly via MyLearning which we are aiming to resolve this week. You can still enrol for courses via our UCL Learning webpages. To do this you should:

Go to our centralised UCL learning page Find and select the course you would like to enrol on  Click ‘enrol’
We will provide updated instructions once this issue is resolved.
  • You will be asked to enter your UCL ID and password.
  • You will either be taken to:
    • MyLearning to enrol on face to face courses
    • Directly to the online training course
  • NB if the course is full you will be given the option to join the waitlist

Can I have information about who has completed training in my department?

Reporting queries on courses i.e. mandatory training can be directed to the HR Reports team at hr_reports@ucl.ac.uk or you can visit their website:  https://www.ucl.ac.uk/human-resources/policies-advice/workforce-reporting-and-analytics

I cannot enrol successfully for a course – why? 

We are aware of a current problem which results in a “log in loop”. This is because the course is not open for enrolment. Please check the date the course is open for enrolment and enrol when it is open. 

I have enrolled for a course but haven’t received a venue – why? 

Venue information will be included in the course reminder emails that are sent closer to the date of each event.

How do I add an external/missing course? 

You can do this by clicking “Manage my external classes” found at the bottom of the page on your MyLearning homepage. 

I have a query about a course but I’m not sure who is delivering it – how can I find out?

Course ownership can be identified by the following:

Checking the courses code (i.e. all Organisational Development courses have OD at the beginning), going to MyLearning and searching for the course via training provider or checking the L&D Course Catalogue

I am a student/non-UCL employee – How do I enrol on a course?

NB A non-UCL employee is anyone who is not on the UCL payroll i.e staff on fixed term contracts, agency staff and contractors.

The first time you enrol on a course, you will need to create a learning record. To do this you should:

Go to our centralised UCL learning page Find and select the course you would like to enrol on  Click ‘enrol’ You will be asked to enter your UCL ID and password. If you don’t already have a MyLearning record this will automatically be created and you will be asked to log in again in the next 5 minutes. You will be taken to the course page in MyLearning for face to face courses  (‘click enrol’)or directly to the online course. You will receive notification you have enrolled on the course NB if the course is full you will be given the option to join the waitlist

I have previously completed some online courses but these are no longer showing in my learning record.

Some of our online courses were available on a platform called Moodle. We have encountered an issue where not all of these courses show completing data for individuals which means they will not show as completed courses in MyLearning. You can manually add the learning record for this in MyLearning and we are reviewing how to manage this and refresher courses moving forwards.

I have previously enrolled on a face-to-face training course. Will my booking be in MyHR?

If you are a UCL employee, your enrolment will have migrated into MyHR. 
If you are a student/non-UCL employee you should have been contacted directly. You will need to create a learning record in MyLearning and then re-enrol on the course. See our ‘How do I enrol on a course’ FAQ 

How do I complete mandatory training?

What is the difference between a course, a class and an offering?

A course defines the learning content for the training session i.e. Basic Excel Skills Training, whereas the class is the date and location the course will be delivered.

An offering is the format a course/class will be delivered in i.e. face-to-face or online.

What is a learning path?

A learning path is a place for you to record courses that you would like to complete as part of your learning journey. Your manager will also be able to view the details of your learning path.

What is a waitlist?

If you have identified a course you would like to enrol on but there is not an available class, you can join the waitlist to let the training provider know you are interested. If a place becomes available on that class, the training providers can then assign the place to you and you will receive a notification to confirm this.

What is an interest list?

If there is not a space on an existing class, or a class has not yet been scheduled you can sign up to the interest list. Training providers will contact individuals on an interest list when a class is scheduled.

Why does my manager receive a notification when I enrol on a course?

Managers are able to see the details of their team’s learning, including being notified of any courses they enrol on. This provides managers will an overview of their team’s activities and learning ambitions.

Multiple assignments - I meet the eligibility criteria for a course but MyLearning does not allow me to enrol?

If you have 2 or more positions at UCL, these are each known as an assignment. One of these will be recorded as a primary assignment. MyLearning is only able to apply the eligibility criteria to this primary assignment. This means if your primary assignment doesn’t meet the eligibility criteria for a particular course, even if one of your other assignments does, MyLearning will not recognise you are eligible.
