Welcome to UCL!

You've arrived! Are you ready to study at one of the world's top universities?  Here’s our quick guide to help you settle in halls, stay safe and build your community. 

These quick tips will help you get started. But if there’s anything you want to know – and the answer isn’t in here – speak to a member of your Hall Team, an Ambassador, or a Student Residence Adviser. Throughout the booklet, you’ll see some helpful QR codes you can scan using your mobile.

1. Who works in halls

Hall Team

The friendly team in your hall are here to help you during office hours, 8am-6pm. While you’re in halls, you’ll get regular emails from your Hall Team and UCL Accommodation telling you important information.  

Maintenance Team

When things need to be fixed, the maintenance team will be working in halls. If the repair is in your room, they’ll knock on your door three times before entering. If you’re out, the maintenance team co-ordinate with the Hall Team to get access while you’re away so they can fix the issue before you get home.  

Cleaning Team

Communal areas are cleaned weekly. Please help the cleaning team by keeping shared spaces clean and tidy. This includes emptying any fully rubbish (trash) bins in your flat or corridor into the large bins (dumpsters) at your hall. 

Student Residence Advisers (SRAs)

SRAs are postgraduate students who live with you in halls. They are there to support your wellbeing and help build the hall community. More information on SRAs in section 6! 

Ambassadors

Ambassadors are fellow students who are here at the start of term to help you move in and can answer any questions you might have about life at UCL. They’ve lived in halls before and done at least one year’s study, so they’re a great resource!

2. Your room

Inventory

You’ll find the inventory form online on the UCL Accommodation Portal under the Room Condition section. Please complete this within 48 hours of moving into your hall. It’s important to check your inventory thoroughly. Record anything that seems missing or damaged, otherwise you may be charged for it at the end of the year. 

Decorating your room

There are lots of ways to personalise your room. You can put posters on non-painted surfaces such as pinboards, wardrobes and shelves. Fire hazards like candles, fan heaters, cooking equipment and mains-powered fairy lights are not permitted. A full listcan be found in UCL Accommodation General Regulations. 

Room inspections

Room inspections are a simple check to make sure everything is working properly in your room and takes about five minutes. Once a term, you’ll get an email to let you know when your room inspection will take place. 

Inviting friends

During the daytime you can have guests in your room. Remember to sign them in for fire safety and visitors should leave by midnight unless they are an overnight guest. You can have one guest in your room overnight at a time, staying a maximum of seven nights in a calendar month. For everyone’s safety and security, please email your Hall Team in advance with names and dates of visitors. All visitors need to bring picture ID, and for fire safety, all guests must sign in when they arrive. 

Got a bedding pack?

If you haven’t already bought a bedding pack, we recommend UniKitOut. Packs include a duvet, pillow, duvet cover, pillowcase and sheet. 


3. Personal admin

Your UCL email account

Your UCL user ID and password was set up as part of pre-enrolment. All information from your department and central UCL teams is sent to your UCL email account. If you have any access issues, contact the Information Services Department on +44 (0)20 7679 5000. 

Student bank account

Do you have a UK bank account? If not, it’s a good idea to open one. This will help you manage your money more easily and safely. We strongly advise against carrying large amounts of cash or keeping money in your room. To open a UK bank account, you’ll need a letter from UCL confirming your student status. This is called a Statement of Student Status. If you’ve not enrolled yet, request one via askUCL. If you’re enrolled, you can download it from Portico.

Register with a doctor

Don’t wait until you feel unwell. It’s vital you can access the right health care when you need it. Sign up with a doctor, a GP, short for General Practitioner. We recommend you register with your local GP which can be found using the NHS GP finder tool

National insurance number

Are you a non-UK student? To work in the UK you’ll need a National Insurance (NI) number which you can apply for online. If you’re a non-UK student on a student visa, there are restrictions on how many hours you can work. Make sure you stick to the terms of your visa. UK nationals should have received their NI number at age 16. 

SIM card

For non-UK students, it’s a good idea to put a local SIM card in your phone. This will make local and international calls cheaper. 


4. Your hall

Paying your fees

Your rent is paid via Portico once a term. We send an invoice email with details on how to pay. If you’re facing financial hardship and can’t pay the full term’s rent in advance, you may be able to pay in up to four instalments. Log an enquiry via askUCL under the Request for Hall Fees Instalment Plan category and complete the form. 

Reporting a fault

Maintenance is handled on a scheduled basis. Let us know of any issues as soon as you can. Simply log into the UCL Accommodation Portal and choose ‘Report a problem’ from the top menu to submit a ticket. Your Hall Team log all maintenance issues and will inform you of planned works. 

Emergency repairs

If you find a serious fault, please contact your Hall Team immediately via email/ phone or in person at the front desk. 

Noise levels

You will need peace and quiet to study, and so will your neighbours. Please be mindful of sound levels. You may think you’re not making much noise, but if someone is trying to concentrate or sleep, sound can be very annoying. 

Weekdays: please keep noise levels at a minimum between 11pm and 8am. 

Weekends: please keep noise levels low between midnight and 8am. 

Central Assessment Period: be extra quiet to aid revision. No parties are allowed in halls. 

Washing your clothes

Use the Circuit Laundry Plus app for your on-site laundry facilities. You pay via your smartphone. Use a bag or basket to carry your washing and detergent. It’s best to set a timer for the end of the wash cycle and to collect it from the dryer. Please help other residents by moving your laundry along quickly. 

Kitchen

In a shared kitchen, the appliances may work differently from those at home. Ask the SRAs, Ambassadors or Hall Team to show you how they work. In a catered hall, you will have areas to prepare food outside of service hours. 

Waste and recycling

UCL is committed to reducing waste and recycling as much as possible. Find out how to recycle in your hall. 

Sustainability

UCL works with students and staff to embed sustainability throughout our campus and culture. Find out how you can get involved to swap clothes, make friends and save money. 

Drinking water

Tap water in the UK is of high quality and purity. It is safe to drink water from any tap in your hall, unless labelled otherwise. 

Locked out?

If you are locked out of your room during the day, speak to the Hall Team at the main reception. If you get locked out at night, use the SafeZone app to contact UCL Security. You can also ring the Security Team on +44 (0)207 679 2108. If you’ve lost your phone or it’s out of battery, you can always get 24-hour support from the security lodge at the main entrance on Gower Street. 


5. Fire safety

The safety of our students and staff is a top priority. We appreciate your support in ensuring that UCL halls are a safe and secure environment to live in. 

The following items are prohibited in UCL Accommodation: 

  • Portable heat equipment 
  • Firearms (including legally held and imitation firearms), or other weapons or dangerous substances such as explosives
  • Knives (other than those used for food preparation)
  • Mood lighting such as fairy lights (other than those which are battery operated)
  • Humidifiers
  • Dart equipment
  • Plug-in air fresheners
  • Items which have a potential for a naked flame such as candles, incense sticks, fragrance burners, joss sticks, aromatherapy burners, hookah and shisha pipes, oil lamps, fireworks and barbecue equipment
  • Illegal substances, including legal highs 
  • Vape pens, hookah pipes, ‘bongs’ or similar paraphernalia producing smoke or vapour
  • Personal Light Electric Vehicles (PLEVs) including e-Scooters, e-Bikes, e-Unicycles or similar items.

All residents need to attend a mandatory fire walk in their first week and complete the Fire Safety Site Familiarisation Form on the UCL Accommodation Portal. Additional information about Fire Safety is available on our website. 


6. Wellbeing & community

Wellbeing support

Being a student can be difficult and stressful. If you need support or guidance, you’re not alone. Whatever your reason, there are people at UCL who can help: Student Residence Advisers (SRAs); your tutors; your departmental Student Adviser, and the UCL Student Support and Wellbeing team (SSW). 

Your SRA team

SRAs are postgraduate students who live with you in halls and are there to support your wellbeing and help build the hall community. They offer peer-to-peer guidance and can signpost you to UCL support services. SRAs are on duty between 6pm to 8am on weekdays, and 24 hours on weekends. To contact an SRA, attend a Flourish activity, ask the Hall Team to put you in touch, or in an emergency, use the SafeZone app

Flourish

SRAs also run Flourish activities where you can meet new people and make friends! Find out what’s coming up in your hall and when the next inter-hall event will be! Got an idea for a Flourish activity? Speak to an SRA! 


7. Travel in London

Find your way around

We encourage you to explore the Bloomsbury and UCL East campuses! As a student, you also have access to study spaces such as the Senate House Library, the British Library, and more. 

There’s so much to do in London. Check out the list of recommendations from previous residents of your hall in your room and start discovering your local area. 

Go by bus. It’s cheaper than the Tube. Check the fares at the TfL website

Tips for Public Transport in London

Get a Student Oyster photocard or Student Railcard. These give you money off standard fares on the Tube and buses with Transport for London (TfL). You can also use a contactless credit card or bank card on public transport. Remember to always touch in and out with the same card. 

Use Google Maps, Citymapper or TfL Go to find the best routes for getting around London. 


8. Budget & money

Part-time jobs

Looking for work experience or just some extra money? You can get help finding a part-time job through the myUCLCareers listings and the Students’ Union JobShop

To work in the UK you’ll need a National Insurance (NI) number which you can apply for online. If you’re a non-UK student on a student visa, there are restrictions on how many hours you can work. Make sure you stick to the terms of your visa.

9. Your safety

General Regulations

When you finish reading this booklet, read through the General Regulations for living in UCL Accommodation! These cover all the rules and important information for students living in UCL Accommodation. 

Fire alarms

Fire alarms are tested once a week. If the alarm lasts more than a minute, or happens outside of the weekly test time, leave the building immediately. 

If you have an emergency, call 999 for the Police, Ambulance Service or Fire Brigade. This is a free service. You should also inform the Hall Team or SRA team about any emergency, as soon as you can. 

Stay safe

London is a big city. It is generally safe but be wary of strangers. Stay aware and be careful who you let into your home. Never let strangers follow you through the front door. 

You should keep your door locked and secure when your room is unattended and overnight. 

If you find a suspicious stranger in your hall or flat, call a member of your Hall Team, UCL Security or the police. Do not try to confront strangers yourself. Report it to UCL Security, your Hall Team or an SRA right away. 

Moped and bike enabled crime occurs in all areas of London. Be aware of your surroundings when using your phone outdoors and try to avoid using your phone in public. 

SafeZone app

Contact UCL Security using the SafeZone app if there is a problem in your hall when the office isn’t open. Don’t wait for an issue, download it now


10. Online tools

The UCL Accommodation Portal

This is where you applied for UCL halls. Now you’re here, it’s where you submit your room inventory, complete mandatory fire safety information and log any maintenance requests. If something in your room or flat stops working, log the issue on the portal. 

If you are in a Unite or urbanest hall you will want to speak with your Hall Team about the process for your room inventory and reporting maintenance requests.

For more information about your hall and everything UCL, download UCL Go. 

Portico

Portico is an online student information portal which hosts key services: paying your rent; choosing modules; checking grades; and re-enrolment.

This is UCL’s student enquiries system. If you’ve got a question or need to log an enquiry, use AskUCL.
