Interruptions: Student Return to Study Process

Automations have been implemented to make the student’s return from interruption a smoother process

The process of how students returning from interruption has gone live earlier this month after launching the new Interruptions of Study policy and online process in February 2021.   

The most significant development of the process is the online workflow for the return to study welfare review. If a student requires a welfare review, the system will email the student instructions and the Student Support and Wellbeing (SSW) team will make their recommendations online to colleagues in the faculties.  Faculties will then approve the student’s return to study in Portico. 

Other key features of the process are as follows: 

  • Three months prior to their return students will receive an email asking them to confirm their intentions: ‘I wish to withdraw’, ‘I wish to request a further period of interruption’ or ‘I am planning to return to study…’. 

  • Students will be able to submit a subsequent interruptions request online or be sent a withdrawal form. 

  • Faculties and departments will be able to view all students due to return and their status in the departmental or faculty view of the interruption. 

  • In the Return to Study Plan if departments requested that support teams and other central services (e.g. Visa Compliance and Accommodations) be notified, they will receive a notification that a student is returning. 

  • The student’s access to key UCL systems will be automatically available as stated in the Interruptions policy. 

  • Students requiring a visa for their studies are given necessary information to make informed decisions throughout the process. 

  • Three months prior to students returning to study, SSW support emails will be sent automatically. 

Other enhancements include: 

  • The faculty view of the interruption applications table now has a column with the date of approval stamped. 

  • The departmental and faculty view of the interruption applications table now includes the submitted date of the request.
