Create and send certificates of participation

You can email or post your learners a certificate of participation when they complete your short course or CPD. Use the certificate template on this page.

Download the template (in Microsoft Word format) on this page to create your certificate of participation.

Student Registry Services (SRS) have approved the text and references. This means that you can only edit some of the fields in the template.

1. Download the 'Word' template

Download the certificate template in Word format, for Mac or PC (available to UCL staff only, you'll need your UCL login)

2. Edit the template

Go to File > Save As... and give the document a new name.

Replace the placeholder text with:

  • your department or institute name (at the top of the page)
  • learner's name
  • course name
  • completion date (in UCL house style – for example, 20 March 2018)

Images

There is space to insert images at the bottom of the template.

Use this for partner logos that would be valuable and significant to learners, for example that could impress a potential employer.

For example, you could include an NHS Trust or commercial company involved in the course.

Do not use your departmental logo on this certificate.

To insert an image:

  • place the image (by using the insert function or drag and drop)
  • if you need to, scale it proportionately
  • change its wrap characteristics to ‘in front of text’ (this allows you to place images without pushing text into the wrong place)

You should also delete the red placeholder text.

Choose the right font

Depending on your computer or system, the font may change. Please ensure you use either of the UCL-approved fonts:

  • Arial
  • Garamond

3. Save and convert to PDF

Before emailing or printing the certificate:

  • save your changes in Word
  • save the document as a PDF

4. Ordering hard-copy certificates

  1. Go to www.ucl.ac.uk/procurement
  2. Select 'UCL Contracted Suppliers'
  3. Log in with your UCL userID and password (if you're not already logged in)
  4. Select ‘Printing Services' (under 'Professional Services')
  5. Most print requirements are covered by lot 1 ('General Print'). Click on the ‘Quick Quote’ link under ‘Get a quote’
  6. A pre-populated email will pop up in your email software, with all six digital printers' email addresses in the 'to' field
  7. Describe your requirements to the printers in this email
  8. Send the email
  9. Pick the company that has a competitive price and that is helpful and responsive to your request

Choosing paper quality

We recommend a paper weight between 200–250 gsm. 

You can order either silk or matt (uncoated) finishes, depending on personal preference.

The matt or uncoated finish looks contemporary and will work in all lighting.

Avoid choosing a gloss finish unless you specifically need it.

Printers will supply examples of different weighted papers if required.


Depending on the IT system you use at UCL, the Word template may not work as described on this page.
