Getting ID Cards, Locks and Keys

ID cards, locks, and keys are some of the basic elements of security at UCL. They are essential to your time at UCL. You can find out more about getting an ID card and replacing a missing card or lock

ID cards

You will be issued with a UCL ID card at the beginning of your course or contract, and you may arrange guest passes for visitors via your departmental administrator. ID Cards are a vital part of UCL's security provision and we ask that you keep this safe. Please carry it with you at all times whilst on UCL premises, to help us provide you with a safe and secure environment in which to work and study. Your UCL identity card serves multiple purposes. UCL ID cards also provide:

  • access to UCL buildings, including UCL's libraries.
  • the ability to check books out from libraries (it's your library card too).
  • access to the Bloomsbury Fitness Centre.

On the front of each ID card is the cardholder's name, faculty or department, photograph, UCL person identifier code and card expiry date. The cards are colour-coded by group so staff feature an orange banner. Visitors and staff on temporary contracts have a black banner. Cards for students feature a range of other colours.

How do I get a UCL ID card?

You will need to show one form of personal photo identification such as a Passport, Drivers licence, BRP or EU ID card. Please note we will NOT accept photocopies or digital copies. Your photograph for your UCL ID card will be taken at the desk.

Students

If you are a new student or are starting a new Programme at UCL, please ensure you have received an email to confirm your enrolment has been completed before you book an appointment.

During first term all new students will need to book an ID card issue slot following the link in your confirmation of enrolment email. The booking system will confirm the location of your appointment.

Replacing a lost ID

You must report a lost ID so we can disable the lost card as an access pass. If you require a replacement ID card due to theirs being lost, faulty or require updating, please use the link below to book an ID card slot for the Andrew Huxley Building.

UCL Staff and contractors

ID cards are issued by appointment in the Andrew Huxley building (close to Gordon Street entrance) from Monday to Friday 08:00 – 17:45. Security passes are issued from reception at the Marshgate building in UCL East seven days a week. Staff, students, and contractors may use the booking link below to schedule your appointment at Andrew Huxley. No appointment is needed at UCL East.

Accessibility 

If you are registered disabled or unable to visit, please contact the team to make alternative arrangements. To add any specific building access rights, authorised signatories should email securitysystems@ucl.ac.uk.

Do I have to pay?

The first ID card you receive is free (check for the ‘Issue 1’ mark on the back of your ID card). If the card is lost or stolen during its period of validity the next issue is also free. Depending on the type of card you hold a £15 administration fee may be charged for the third issue and any subsequent issue, if lost or stolen. Please only make a payment if you have been advised to by the Security Systems team in the Andrew Huxley Building. You can pay for a new card through the UCL Online Store. Please note if a refund is required it takes up to 30 working days to be processed.

There is no charge in cases where the card has failed or expired, or because the information on the card has changed providing that the current card is returned to the UCL Security ID issue team.

Please note that the UCL ID card remains the property of UCL and must be returned to UCL Security at the end of your contract or course. The card is non-transferable and must be used by the named cardholder only.

Library cards

There is no need to visit the library to register. Library Services use the barcode and information that you can find on the reverse of the UCL ID card. The barcode is passed automatically to the library membership database and you can visit as soon as you have your card.

Locks and keys

To request keys or for advice on security matters involving all types of locks and the use of access control, including arranging the design and installation of master keyed lock systems, please visit the Andrew Huxley Building from Monday to Friday: 08:00-17:45.
