Staff Handbook
We hope that you settle into the Institute quickly and to help you with this process, we have put together a Staff Handbook. We hope you find this a useful tool and welcome feedback.

Induction Checklist
Your manager will go through a comprehensive induction checklist which we hope provides you with the knowledge and essentials to get you started in the role.

Meet the Team
Your manager should show you around the building and introduce you to your immediate team.

Access requirements, including ID cards and UCL systems

How to obtain a staff ID card

ID cards are issued in the Andrew Huxley Building (close to the Gordon Street entrance) from Monday to Friday between 9am and 4.45pm. To help minimise the number of people in reception, please book in advance.

You will need to show one form of personal identification such as a bank card or driving licence and your photograph will be taken at the desk.If you are registered disabled or unable to visit, please contact the team to make alternative arrangements.

Staff who require access to NHS clinics will require a UCLHT ID card. Forms are available via the EDI Registry Department.

How to obtain your UCL Account Details

Most staff are automatically assigned a UCL user ID and password, the main exception being honorary staff. Visit the Security Services Department in the Andrew Huxley building (open Monday to Friday between 9.00am and 4.45pm) where you can pick up your sealed computer registration slip containing your user ID and initial password.

You will also be issued with your UCL ID card and IT Essentials induction pack at the same time. If the Security Services department does not have your computer registration slip, visit the IT Services with your ID card and you can be registered to use the MyAccount service and set a password for your account.

Once you have your user ID and password, you should:

1. Change your password to something only you know. Your password automatically expires between 100 and 350 days after you set it (depending on the strength of the password you choose).

2. Register your phone number so you can reset your password if you forget it.

How to access UCL Windows Desktop and other applications

If you are working from home or on the move, there are a number of services available giving you access to your desktop, files, software applications and systems.

There are 2 ways to access UCL services remotely. The option you pick will be dependent on your requirements and technical knowledge, but for the vast majority of UCL staff and students we recommend Desktop @ UCL Anywhere.

Access the UCL Windows desktop, software applications & files (students & staff) via Desktop @ UCL Anywhere

Desktop @ UCL Anywhere is the recommended remote access method for staff and students giving you access to:

Reasonable Adjustments

The Institute ensures that people with a disability, impairment, mental or physical health condition can access and progress in employment. A Reasonable Adjustment is any step or

steps UCL can reasonably take to prevent any provision, criterion or practice, or any physical feature of its premises, from putting a disabled person at a disadvantage in comparison with a non-disabled person. Reasonable adjustments should be discussed with your line manager in the first instance.

Access the UCL Network only via UCL VPN (Virtual Private Network)

The UCL Remote Access VPN Service provides a resilient, secure means of accessing private UCL corporate central services from off-site locations.

There are also a number of other tools to aid your working, whether you are at home or on the move. Go to UCL's remote working tools pages for more information.
