We’ve built a cross-function PS Service Catalogue

13 May 2020

We have worked with the community to develop a tool which organises and describes the services provided by Professional Services teams at UCL.

The Professional Services (PS) Service Catalogue clearly defines the professional services we provide – in a consistent format – in terms of who they are for, who owns them, how often they are provided, where they are provided from, how they depend on other areas and who is accountable for their delivery.

The PS Service Catalogue includes 12 functional areas: CAM, Commercial, Education Administration and Student Support, Estates, Finance, Governance, HR, ISD, Legal, Planning, PS Hub and Research and Innovation Support. These functional areas have been broken down to 48 different service groups, within which we have identified 296 distinct services

This evidence and insight will help to support planning and decision making at UCL, and inform future transformation and strategic change. The PS Service Catalogue is currently being used to support the Covid-19 crisis management activities, for example ISD heavily used the PS Service Catalogue as part of their response for Covid-19 crisis management. The catalogue allowed ISD to identify the key business processes across PS, to feed into planning for fully-online university operations.

Projects moving into the UCL Planning Team

As the TOPS programme team has delivered what it set out to achieve, namely the creation of the PS Service Catalogue, overall management of the Catalogue has now been handed over to the Planning Team. Each of the 12 functional areas that make up the PS Service Catalogue will be maintained by a nominated Service Area Owner from a relevant professional service area.

We have also been working with the community to design and test a framework for managing the performance and improvement of our professional services. The Service Partnership Framework (SPF) is designed to support a shared culture of collaborative service delivery and improvement between academic and professional services staff.

Due to the clear alignment with the team’s roles in both strategic planning and data and insight, the Planning team will eventually take on this project and, in time, will help to implement the Framework across Professional Services.
