Exam Board Training

Training sessions to cover a number of updates to policies, processes, and Portico.
The following training has been planned for departments on the Exam board processes. The sessions will cover a number of updates to policies, processes and Portico.
There will be three types of training sessions
- General session
- Exam Board Chairs session
- Faculty specific session
We encourage you to attend as many of these sessions as possible.
1. General session - Exam Boards Summer 2020
Recommended all Chairs and Administrators:
- Update on regulation changes for this year
- Update on changes to Portico due to regulations
- Update on enhancements to Portico
- What reports you should use
- Key dates
When: The session will be held on 29 June 3-4.30pm
Who: Kirsten Hamilton, Head of Student Records, Helen Matthews, Director of Academic Services
How to Join: Please join via this link. ELOs will be sent a calendar invite.
2. Session for Chairs
Recommended for all Chairs, administrators are welcome to join:
- Overview of the Chair role
- Different types of meetings and which reports to use to support those meetings
- Covid guidelines for running meetings
- Emergency Procedures
- Practical considerations
- Overview of the Portico process
- Demonstration of the ‘Chair’s task’ in Portico
- Reports – make sure content/data is understood
When: The session will be held on 1 July 11am – 12.30pm
How to Join: Exam Board Chairs will be sent an Outlook calendar invite with a link to the Teams meeting.
3. Faculty specific sessions
Separate Sessions will be setup for each Faculty - recommended that all administrators join their faculty session:
- More detailed information on scenarios common within your Faculty
- Student Records and your Faculty – how we can prioritise during peak times
- Meeting your Student Record contacts
- Q and A for your specific context

How to Join: Each Student Records Manager will send a calendar invite for the training to their faculty contacts.
4. Mop up sessions
You only need to join these sessions if you have been unable to attend your Faculty training session or have additional questions you want to ask Student Records:
- Student Records and your Faculty – how we can prioritise during peak times
- Meeting your Student Record contacts
- Q and A
When: These sessions will be held 9 July 11.30am – 1pm and 10 July 12.30-2pm
How to Join: Please email academicmodelproject@ucl.ac.uk if you would like to be added to the mop-up sessions.
