Facilities

This page displays information about services provided by UCL Estates and Facilities, who are responsible for managing the estate and infrastructure of UCL. See below for a list of the most frequently used services by support staff:

Catering

Sodexo provide most of the catering at UCL. You can book catering to be delivered to a specific room in UCL using the Hospitality system. You will need to register to log in - there is a link on the page to get registered. There is more information about other catering provided at UCL on the Catering pages. You can alternatively book catering through Marks and Spencers and often the food is cheaper, but they usually only deliver to a Reception area, rather than to any room in UCL and they don't clear up afterwards. Again you need to create an Account with them.

Post

You send work-related post to other parts of UCL using internal mail envelopes - these can be obtained from the Post Room in 1-19 Torrington Place, but there are often many in circulation in depts anyway. You can also send work-related items external to UCL using regular envelopes or packaging. Post is collected from dept/section Outboxes and taken to the Post Room for sorting. It is not possible to use the service for personal items.

Alternatively, you can book couriers for larger, delicate or sensitive items - a list of UCL suppliers can be found on the Procurement pages in the Courier section - use your UCL username and password to access these.

Request a Service

You can request small-medium maintenance requests using the Service Request Form. This form can be used to request cleaning jobs, portering jobs (eg., removal of small numbers of furniture or other items), waste disposal, maintenance and repair of faulty systems such as air-conditioning units, lighting, electrics, faulty access systems and other security or safety issues, faulty plumbing, leaks and toilets etc. You can also arrange for notices, whiteboards, shelves etc to be put up using this service, provided the job is not too big. For large jobs (ie, building jobs), you will need to make a Project request using your UCL username and password and send the details of your proposal or advice required - there is more information on the Project page

Room Booking

Information about this service is provided on the Room Booking pages. To book a room, you should login to the Online Booking system using your UCL username and password. It is only possible to book a room in the current academic year - if you need to book a room for a subsequent year, you should email roombookings@ucl.ac.uk. Some departments/sections have rooms available for booking outside of this system for their own staff - you can check this with the staff responsible for security and space management within your own dept/section.

Safety and Security

Information about Safety in general and the UCL Health and Safety policy can be found on the SafetyNET pages - there is also a useful A-Z list of safety issues there (eg., lab safety, use of hazardous chemicals, radiation, risk assment etc) as well as a link to various training courses. The emergency number for UCL is 222, which you can call from any phone. A list of people to contact about Security issues can be found on the Security page and there several useful guides there to staying safe at UCL and elsewhere.

All new staff must complete an online Safety Induction, using Moodle. All accidents, health related incidents and near-misses should be reported using the Report an Incident tool. Each floor or section in any UCL building should have a qualified First Aider for basic health advice and also a Fire Marshall, who is responsible for fire safety. Each dept or building in UCL also has a Safety Officer, who is responsible for monitoring the safety and security of their area(s).There is information about health issues at UCL on the Occupational Health pages and this service is based on the 4th floor of the Health Centre Building at 3 Gower Place - see the map.
