Guidelines for uploading events to the UCL Events Calendar
Events can only be added to the UCL Events Calendar if they meet the criteria of being open to the general public, and organised by UCL staff.
Do not include
Please note - The following events must not be included in the UCL Public Events Calendar:
- Events open only to UCL students - please include in the Events & Activities for Students Calendar instead.
- Events for prospective students - please include in the Events and Open Days calendar instead.
- Events open only to UCL staff - please liaise with the internal communications team.

NB - New process from mid-December 2024
To add your event to the UCL Events Public Calendar, first create the event on your departmental Drupal site and add the Audience tag 'Public' to you event. Access more details on how to add an event (UCL staff only).

Public events calendar policy
This policy is designed to provide UCL staff with clear guidelines as to the suitability of events for the UCL Public Events Calendar.
Terms of reference and criteria for inclusion:
The online calendar is for the promotion of UCL events which are aimed at a public audience. Events which are aimed at students/staff only, prospective students, or a specialist audience are not suitable for publication on the events calendar and organisers should use alternative routes to publicise these events.
Events must have a confirmed date and time, venue, title, synopsis (guideline 250 words), speaker (if appropriate), image (800 x 500 pixels preferably - or 16:10 ratio) and booking contact details.
UCL events
- UCL events are events which are organised by a UCL department and take place on the UCL campus.
- Events which are organised by UCL with UCL speakers but take place at non-UCL venues may also be considered for inclusion.
- Events do not include courses or departmental open days (the general undergraduate open day will be included).
Public audience
The events should be aimed at (as opposed to open to) a public audience and accessible to an intelligent lay audience who do not need to have prior experience or knowledge of the subject.
