Programme and Performance

Estates Operations, which includes the Engineering, Maintenance & Infrastructure (EM&I) and the Facilities & Workspace Services teams, are supported by the Programme and Performance Team (P&PT).

These teams manage maintenance and facility services, contracts, long-term Strategic Maintenance Programme (SMP) and improvements to buildings and infrastructure including critical statutory obligations such as legionella, asbestos, and other building related requirements.

Performance Monitoring

Using CAFM facilities management tools (FAMIS and Planet), the P&PT complete statutory compliance monitoring, performance monitoring (in respect of amendments, renewals, additions, or deletions), and monitor the maintenance team’s planned and reactive performance. This involved working in partnership with UCL’s contractors to move their assets and Planned Preventative Maintenance (PPM) schedules onto Planet from FAMIS.

P&PT manage the Operation & Maintenance (O&M) manuals database including asset data and labelling, and the database for all insurance inspection certificates in relation to lifting and pressure assets.

P&PT administer and support the Business as Usual (BAU) function, including the BAU calendar and incident log.

Performance Reports

Reports are issued for performance and compliance in relation to internal and external service groups, and to the leadership teams to provide strategic guidance, assurance and aid in the decision making the process for Estates Operations.

The vision of P&PT is “to develop, implement and continuously review a framework of measures, systems and procedures for strengthening and validating decisions surrounding operational delivery to enable Estates Operations to achieve its strategic and operational objectives and to become a Centre of Excellence within UCL Estates”.

Maintenance Request

All maintenance faults are managed through the customer support team by raising a service request:
