Grievance Procedures

UCL operates procedures for considering representations by a student who feels that he or she may have a grievance in respect of:

  • alleged deficiency in supervision received for research degrees (before completion of programme of study);
  • the result of examinations, other than examinations for research degrees for which a separate University of London appeals procedure operates (not later than 3 calendar months from the Board of Examiners meeting);
  • a decision not to readmit a student to UCL or to allow a student to continue on a programme of study on the grounds of unsatisfactory academic performance (within 28 days of the date on which the decision in question was made);
  • a decision not to permit transfer from MPhil to PhD (within 28 days of the date on which the decision in question was made);
  • perceived unsatisfactory delivery/administration of a taught programme (prior to final assessment associated with the programme).

You should note that there are time limits within which to make formal representation, as shown above.

If you wish to make representation in respect of any of the above, you are strongly advised to discuss the matter informally in the first instance with your Personal Tutor, the Departmental/Programme Tutor or Graduate Adviser, your Faculty Tutor, the Dean of Students or other appropriate member of staff. You should not contact the Chair of the Board of Examiners. Formal representation through established procedures should be made only if informal discussions fail to resolve the matter satisfactorily and if there appear to be genuine grounds for such an appeal. Representations concerning examination results on the grounds that the Examiners' assessment of the performance of the candidate was incorrect or against academic decisions properly arrived at in accordance with approved procedures will not be considered. Formal representations under these procedures must be made in writing to the Registrar within a specified period of the date of the decision you wish to have reviewed and in the case of alleged deficiency in the teaching or supervision, prior to the examination associated with that teaching or supervision.

The details of the procedure to be followed vary according to the nature of the grievance and, in the case of examinations, depending upon such factors as whether the examination is University-based or UCL-based. The procedures are, however, explained in detail in documents which are available from the appropriate Faculty Tutor or from the Director of Student Administration, Registry, Room G15 (mezzanine), on the ground floor in the South Wing of the Main UCL Building. Students in the Faculty of Laws may obtain the documents from the Sub-Dean. These procedures are subject to amendment; so it is important that you read the most up-to-date copy.

UCL regulations will normally apply if you are undertaking studies elsewhere, or you are studying for a joint programme and your primary registration is at UCL.
