The TOPS Procurement Project aims to deliver increased value for money for goods and services purchased across UCL’s extensive third party spend of £600m, as well as ensuring that the critical requirements of quality, supply, sustainability and risk management are effectively managed.

We have been analysing UCL’s spend in terms of ‘What we are buying?’, ‘Who we are buying for?’ and ‘Who we are buying from?’. We have been collaborating with stakeholders across UCL and with our primary suppliers to identify opportunities to reduce this spend and improve current processes.

Successes so far

So far the team have identified 34 initial projects across Estates, Corporate Services, STEMed and ICT. Through these projects we expect to achieve £3.6m savings this financial year, and up to £9m in financial year 2020/21.

Over the last few months we’ve completed six of these projects for an estimated saving of £1.9m. These include making savings through our:

  • Print Solutions Contract
  • Insurance Terrorism Contract
  • FM Soft Services Catering Contract Renegotiation
  • FM Hard Services Contracts Renegotiation

Twelve further procurement projects are currently in progress and we are continuing to work with key stakeholders to explore new opportunities across our four main categories of spend: Estates, Corporate Services, STEMed and ICT.
