Frequently asked questions

Find answers to common questions about the intranet and the plans for later phases.

Why are you calling it an intranet when I don't need to log in?

We are calling the new platform the staff intranet as we are planning to implement sign-in within a few months so this will become a secure internal online space for staff communications and information. The beta version is just the first step in developing the new intranet.

How will I know if I am viewing the new staff intranet pages?

There are a number of ways you can identify the new staff intranet pages. All new staff intranet pages will have the words /staff/ in the UCL. The new staff intranet will also has a new variation of the UCL website design, with a grey banner.

How did you select the tasks that are available on the first version?

We chose the range of tasks for the beta launch based mainly on popularity. As an agile project, we are keen to deliver as much value to as many staff as possible and so used analytics to determine the most common tasks. We also wanted a range of tasks covering key operational areas like HR, finance, IT and facilities. Now the intranet has moved to a live service, will look at new requirements to emerge from service transformation work, staff feedback on common tasks and pain points and other sources of data.

Who should I contact if I have feedback?

There is a feedback form on each of the new task description pages where you can send us your comments on individual task pages. Alternatively, you can contact us via email at staff-intranet@ucl.ac.uk

Why keep content in two places?

For as long as this is a beta version, we can’t remove any existing content. We hope that you will try out the new streamlined processes on beta version and will aim to provide links from existing content on professional services websites.

What will happen to all of the content currently available on divisional pages?

The aim is to bring together content that is currently held on separate websites into the new intranet enabling you to easily find the information you need. However this is a long-term project. The beta version is merely the first step.

How do I get my content into the new staff intranet?

Please contact the project team via email at staff-intranet@ucl.ac.uk and someone will get back to you with details.

How is the staff intranet project related to other UCL initiatives?

The new intranet project supports other major UCL initiatives, which are also seeking to move towards more customer-centric services. We have been working closely with members of the TOPS team to ensure we are aligned and the new intranet will be the platform via which service changes are communicated and delivered.
