- How much do the courses cost?
UCL staff and students
Courses are free for UCL staff* and students but we require a departmental cost code secure your place. You may also use a cheque as a deposit if you are unable to supply a cost code for any reason. Please see FAQ: What should I do if I have to cancel my booking? for details of charges for late cancellation.
*Please note: UCL staff includes only those who are either directly employed by UCL or are honorary staff at UCL. Other people who work within UCL or its affiliated organisations are required to pay for courses in the same way as external applicants. Please contact the E-learning Environments if you are in any doubt as to your status.
There is a charge of £95 for a half-day course (up to 3.5 hrs) or £175 for a full day course (over 4 hours). This includes those who work within UCL or its affiliated organisations but who are not either directly employed by UCL or honorary staff at UCL. Please contact E-learning Environments if you are in any doubt as to your status.
Please note that all payments must be made by cheque and that we cannot supply invoices. Please see FAQ: How and when do I pay? for more details.
- Who are the courses for?
E-Learning Environments training courses are available to UCL Staff and UCL students who are employed by or working with staff to produce e-learning materials. External participants may be accepted onto courses at the discretion of the Information Services Division.
Please ensure you have authorisation from your Head of Department, Manager or Supervisor before applying for a place on a course unless you intend to attend the course in your own time and be responsible for any cancellation fee.
- What is a departmental cost code? How do I get one?
A departmental cost code is a code which we can use to charge your department in the event of late cancellation (see FAQ: What should I do if I have to cancel my booking? for details).
Your department should be able to provide it. It consists of an account code (4 characters) and an analysis code (usually 3 or 4 characters) e.g. RC13 6Q0
- How do I make a booking?
Navigate to the course you wish to attend to see if there are any dates scheduled. Use the book a place link to make a booking for that course. If there are no dates scheduled, then please register your interest and we will add you to our waiting list.
- What should I do if I have to cancel my booking? Will I be changed if I cancel?
If you need to cancel your booking for a training session you will need to do so on the UCL Training Booking System where you first reserved your place:

There is a charge of £50 for any cancellation made with less than THREE working days' notice to the E-Learning Environments team, whatever the reason.
A department is welcome to send someone else in your place if they wish without incurring a charge, providing that person has the necessary pre-requisites for the course.
In the event of a late cancellation, the charge is made against the departmental cost code or the deposit cheque is cashed depending on the method used to secure the booking. For more details see the FAQ: How and when do I pay?
The course fee is non-refundable unless we receive a cancellation notice at least 3 working days prior to the course.
- How and when do I pay?

UCL Staff* and Students - by cheque
If you are using a cheque as a deposit, we will ask you for this before we can confirm your place on a course. A single cheque can be used as a deposit for more than one course provided that we don't need to charge you for a late cancellation. (made payable to University College London). This will be returned to you when you attend the course or sent back to you.

Payment will be requested when we offer you a place on the course. Please note that payment is by cheque only: we are unable to invoice you for courses and we can only provide a confirmation email as proof of your place on a course.
How to pay
All cheques should be sent to:
E-Learning Environments, Information Services Division, UCL, Gower Street, London, WC1E 6BT.
Cheques should be made payable to University College London. Please write your name, address and the course(s) that you will be attending on the back of the cheque.
- What if the course I want is fully booked? What if I can't make any of the available dates?
You can register your interest for any course which is fully booked, or where the published course dates are not convenient. To do this, navigate to the course you wish to attend and click the Register my interest link.
- How and when will my booking be confirmed?
Where a cost code is provided, a confirmation for each booking will be sent to you by email within 2 working days of receipt of the booking request.
Where cheque is specified, a confirmation for each booking will be sent to you by email within 2 working days of receipt of your cheque. A provisional place will be held until your cheque is received.
Please note: completion of the booking form does not guarantee you a place on a course. If we are not able to offer you a place on the course we will add you to our waiting list and contact you when additional dates are scheduled.
External applicants will be sent an offer of a place, provided places are available, and asked to send payment before the place in confirmed. For more details see FAQ: How and when do I pay?
- There are no dates for the course I want, are there any scheduled?
If there are no dates available on the web site it means we have not scheduled any yet. Please navigate to the course you wish to attend and click the Register my interest link and we will add you to the waiting list.
People on the waiting list are contacted as a priority once dates are scheduled and before the dates are publicised more widely.
- Pre-requisite skills
There is a section called Pre-requisites in the information about each of our courses. This tells you about the skills participants should possess before attending.
In some cases the skills you need for one course may be covered in another, introductory course. If this is the case, you should ensure you have the knowledge and skills covered by the pre-requisite course or, if you don't, you should attend this course before attending the one you are interested in.
- Where does the training take place?
All training takes place in 1-19 Torrington Place. The course information pages specify the location of each course. You will always be advised of the location of the course when your booking is confirmed.
The Information Services Division reserves the right to postpone or cancel any courses.
