What is Job Shadowing?

Job Shadowing entails spending time with and observing the work of another member of staff in a department or role of interest in order to gain insight into work in that area.

This scheme was established in October 2012 within the SHARE@UCL AUA project for  PaLS Professional Services staff, it has now been introduced to Academic staff too (including Researchers and Teaching staff).

The scheme is also open to the wider UCL community. If Faculties and Divisions are interested in adopting the scheme please get in touch with Cristina Gardini, c.gardini@ucl.ac.uk

Job Shadowing can take place within UCL or in any other Higher Education Institution within or outside the UK. Whether possible organisations outside HE can also be contacted. 

Staff can apply to either shadow or be shadowed or both.

Why should I do it?

Job shadowing brings many benefits to both the individual and organisation:

  • greater insight into other roles and ways of working
  • cost effective career and professional development
  • staff can take ownership of their own development
  • sharing knowledge and good practice
  • opportunity to reflect on your own work practices and possibly highlight areas for change
  • can enhance career progression
  • excellent networking tool
  • breaks down barriers and develops relationships within and between institutions
  •   broadens the horizons of both the host and the visitor

Who can participate?

The SHARE@UCL JS initiative is aimed at all categories of staff within UCL.

Staff must have passed their probationary period before applying to shadow someone or to be shadowed and must obtain their line managers’ agreement in advance of submitting an application.

When can I participate?

Both the host and you will be busy so you will need to identify a number of dates when you are available to carry out the work shadowing and allow a sufficient lead in time.

The minimum commitment is half a day up to a maximum of three days.

How do I know what type of role to shadow?

Think carefully about what you want to get out of the experience. For example:

  • Is there specific knowledge, skills or experience that you want to develop?
  • Are there specific aspects of a role that you are especially interested in finding out about?
  • Do you have any particular questions that you want to find the answers to?
  • How will the work shadowing experience fit with your development needs generally?
  • How will you use the information you have learnt in your own work?

What will happen at the end of the meetings?

At the end of you shadowing period you will be asked to fill in an evaluation form:

Your feedback will help the SHARE@UCL AUA project team to evaluate the success of the scheme and make improvements to the process.
