Running an event in the Common Ground

In order to maintain the good condition of the rooms and ensure the smooth running of your event, please follow these tips:

Access to the South Wing corridor is unrestricted. Access to the room is by UCL ID card, so you will either need the IAS staff to open the door for you, or for them to request temporary ID card access for you.. The door is at the back of the room so you can leave it open for latecomers once your event has started.

AV Connections

  • Desk mics, cameras and speakers are permanently switched on.
  • To turn on projector, press the button on top of projector for 5 seconds. Press twice to turn off.
  • When using the networked computer: turn it on in AV cabinet behind the screen at the back of room (computer is labelled), then login with your UCL credentials, or as a UCL guest (.\UCLGuest, password: Welcome1). Turn on the wireless keyboard on the lectern to move between slides etc.
  • When using your own laptop: connect laptop on lectern with VGA or HDMI cables. Please note that Macs will require a HDMI adaptor. Presenters requiring a screen to read their presentation from will find it easier to bring their own laptop.
  • For hybrid events, using Zoom/Teams, go to video settings and select 'AVer CAM550' to use the cameras in the room (there are two to choose from, one is speaker view and one is audience view). If the cameras don't appear on the list turn them off&on at the wall (labelled) to reset them.
  • If you require the TV screens, for those who are far from the main screen, use the remote controls (labelled and located on top of the AV cabinet) to turn them on.
  • Hand mics are next to the AV cabinet. Connect the battery pack (on charge) and turn on (do not speak too close to them).

The closest lavatory is at the entrance of the south wing, next to the stairs (an accessible/unisex toilet). There are more toilets on the lower ground floor, to the right of the shop.

Fire Exits

There are two fire exits: one at the front of the room, and one at the back. Once you have exited the room there are fire exits both to the right and to the left, down the corridor.

There are various heaters fixed to the walls for cold days. These need to be switched on individually, using the marked switches on the walls. Unfortunately we are not allowed to leave them on when the room is not in use, due to energy consumption. They do take a little while to warm up.

Post-Event Clear Up

  • Ensure the furniture is put back in its original position (theatre style).
  • Switch off wireless keyboard, networked computer, projector and additional screens, but please do not switch off from the mains socket.
  • Tidy up any leftover catering.
  • Take down any signage.
  • Do not leave students/visitors unattended in IAS rooms at the end of your event.
  • Turn off the lights (light switches are labelled).
  • Turn off the heaters (heater switches are labelled)
  • Close the windows and door when you leave and make sure the latter is locked.
