Timetable troubleshooting

Specific guidance for users encountering problems with the timetable.

Cannot sign in to the personal timetable

You require a valid UCL username and password to sign in to view your personal timetable.

If your UCL username and password is working on other systems, e.g. PORTICO or your live@UCL e-mail account, but you cannot sign in to the personal timetable, report this problem via email to timetable-help@ucl.ac.uk. Please note, unlike Portico or live@UCL, you only use your username to log in to Single Sign-on systems. You do not add @live.ucl.ac.uk.

If you do not have a UCL username, you are unsure of the password, or it has expired, visit the MyAccount portal, email the ISD Helpdesk or call 25000.

Student personal timetable is missing modules or events

Module selections have not been confirmed in PORTICO or they were confirmed today. When you select optional or elective modules in PORTICO, they will be added to your personal timetable the day after you confirm your selections. If you have not yet confirmed your selections they will not be in your personal timetable. If you confirmed your selections today or very late last night, please wait and check again tomorrow.

Your compulsory modules will appear in your timetable before you select options or electives. This is normally done before you arrive at UCL but if there were problems with your records and the Registry had to re-generate your module registrations, you will have to wait until the next day for them appear in your timetable.

You can check your module selections and registrations in PORTICO via the 'View Module Selection Status' and the 'View Confirmed Module Registrations' links, which can be found in the 'Student Academic Details' container on your 'Student Home Page'. Contact your department administrator if you need to make changes to your module selections in PORTICO.


Some modules are taught entirely in groups. If you have chosen to hide groups that you have not been assigned to, modules that are taught entirely in groups will not appear in your timetable. To see all the groups for modules where you have not yet been assigned to a group, turn on the "Show unassigned groups" on the Change Display tab. Modules that are taught entirely in groups will now appear in your timetable and all the groups will be displayed. Once you are assigned to a group, only your group will be displayed in your personal timetable.


The module selection may have been rejected by the teaching department or your parent department. After you confirm your module selections in PORTICO, the teaching department and your parent department must approve the selection. Until this is done they will appear in your timetable with an asterisk in the top right corner of the event. If the selection is rejected by the teaching department or amended by your parent department, it will be removed from your timetable the following day. You can check which module selections have been approved or rejected by accessing the 'View Module Selection Status' link in the 'Student Academic Details' container on your 'Student Home Page' in PORTICO. Contact your department administrator if you need to make changes to your module selections.


The module registration may have been amended by your parent department. Check your module registrations in PORTICO via the 'View Confirmed Module Registrations' link, which can be found in the 'Student Academic Details' container on your 'Student Home Page'. Contact your department administrator if you need to make changes to your module registrations. Remember that changes to your module selections and confirmed module registrations will not be reflected in your personal timetable until the next day. If your timetable contains modules or events which are not in your PORTICO module registrations, email timetable-help@ucl.ac.uk. Be sure to give us your name and student number (which can be found on your student ID card, or your PORTICO record), and describe the problem as clearly and completely as possible.


UCL Language Centre undergraduate course units are timetabled after students have been to the Language Centre to register and been assigned to groups. Other courses offered by the UCL Language Centre are not included in the Online Timetable.


Module may not have been timetabled. You can use the Custom Timetable to find out if the module you are looking for has been timetabled. You must select a module with the same code as the one in your PORTICO selections. There may be other modules with the same name but your personal timetable will only display modules with the same code. If you cannot find the module, or no timetable is displayed, contact the department timetabler or email timetable-help@ucl.ac.uk. Include your name, student number (which can be found on your student ID card, or your PORTICO record, the module code and the module name.

Student personal timetable has extra modules or events

All groups are displayed. Tutorials, labs, seminars, etc. may be taught in groups. All the events for all the groups will display in your personal timetable until you have been assigned to a group. This will make it look as if there are too many lessons for a module. You can hide the groups by clicking the Change Display tab, unchecking the "show unfitted groups" box, and clicking on the arrow. You can identify the events for groups by the group symbol (a picture of 3 people) and a group code below the week range in the event.


Some modules are taught entirely in groups. If you have turned off "show unassigned groups", modules that are taught entirely in groups will not appear in your timetable unless you have been assigned to a group.


Error in module selections (* in the event). If the event has an asterisk in the upper right corner in your personal timetable, check your module selections in PORTICO to make sure you have selected the correct modules. Use the 'View Module Selection Status' link, which can be found in the 'Student Academic Details' container on your 'Student Home Page'. Remember that changes to your module selections and confirmed module registrations will not be reflected in your personal timetable until the next day. Contact your department administrator if you need to make changes to your module selections. If your timetable contains events with an asterisk in the upper right corner which are not in your PORTICO module selection, email timetable-help@ucl.ac.uk. Include your name, student number (which can be found on your student ID card or your PORTICO record), the module code and the module name.


Error in module registrations (no * in the event). If the event does not have an asterisk in the upper right corner, check your module registrations in PORTICO via the 'View Confirmed Module Registrations' link, which can be found in the 'Student Academic Details' container on your 'Student Home Page'. Remember that changes to your module selections and confirmed module registrations will not be reflected in your personal timetable until the next day. Contact your department administrator if you need to make changes to your module registrations. If your timetable contains modules or events which are not in your PORTICO module registrations, email timetable-help@ucl.ac.uk. Be sure to give us your name and student number (which can be found on your student ID card or your PORTICO record), the module code and the module name.

Student personal timetable has clashes (2 events at the same time)

All groups are displayed. Tutorials, labs, seminars, etc. may be taught in groups. All the events for all the groups will display in your personal timetable until you have been assigned to a group. This will make it look as if there are too many lessons for a module and it may appear that there are clashes which you will not have once you are assigned to a group. You can hide the groups by clicking the Change Display tab, unchecking the "Show unassigned groups" box, and clicking on the arrow. You can identify the events for groups by the group symbol (a picture of 3 people) and a group code below the week range in the event.


Events may be in different weeks. If you are displaying the timetable for several weeks it may look like there are two events at the same time on the same day but they may be scheduled for different weeks. Check the week numbers to see if there really is a clash or view the timetable one week at a time. Click the Current Week button or click on the Change Display tab to select a week. You can use the arrow buttons beside the Current Week button to move from week to week.


If there is a clash in your timetable, contact your department administrator to change your module selections or make arrangements to work around the clash.

Staff personal timetable has extra modules or events

Shared teaching may not be detailed. For modules with shared teaching, some departments have chosen to name only the module co-ordinator in the timetable, others have listed all the teaching staff in all the events, and others have captured the detail of who is teaching each event. This may cause extra or missing events in your timetable. Download a breakdown of the permission details for each department.

If your timetable looks incorrect email the department timetabler. If you are unsure which department to contact, email timetable-help@ucl.ac.uk.

This may cause extra or missing events in your timetable.


UCL Language Centre undergraduate course units are timetabled after students have been to the Language Centre to register and been assigned to groups. Other courses offered by the UCL Language Centre are not included in the Online Timetable.


You may not be on the UCL teaching staff list. The list of teaching staff is maintained by Human Resources. Until you have a signed contract with UCL, the timetabler is unable to assign you any teaching in the Online Timetable.

Staff personal timetable has clashes (2 events at the same time)

Room missing

Room not yet assigned or changing. If the event is not in the upcoming week, it is likely that the room will soon be assigned. Check again closer to the day.

If the event is in the coming week, contact the department that teaches the module to find out where the event is taking place.
