Access to Projects

There are two ways to gain access to projects:

1. Key Member

Be setup as a Key member on a specific project.  This can be done by the Local Finance Manager or Departmental Administrator of the department that owns the project.

Key member types are:

  • Restricted - Can enter transactions (e.g. raise purchase requisitions or expense claims), but cannot see the project in reports.
  • Unrestricted - Can enter transactions and run reports.
  • Purchasing Manager - Approves all purchase requisitions raised against the project, in addition to the Authorised Signatory.
  • Expenses Manager - Approves all expense claims raised against the project, in addition to the Authorised Signatory.

You can find out which projects you have access to using the Project Code Validator from the Project Security tab.

To request access to a project, contact your Local Finance Manager or Departmental Administrator(DA).  You can find out who is setup as a Local Finance Manager of DA for your department in the Assigned System Roles spreadsheet.

2. Organisation Security

You can be setup with organisation security for a particular organisation unit in the organisation hierarchy.

This gives you access to enter transactions and run reports against all projects owned by the org unit and all org units below it in the organisation hierarchy.

To request org security, the DA should email the school finance team.  They will approve the request and forward to central finance who will update the system.
