Process for promotion applications within IFWH
The aim is to ensure equity of access and selection so as to ensure that all staff are considered for promotion/accelerated increments/contribution points on a regular basis. Through this the Institute will make the process of career progression more transparent and reward staff for their contribution to making IfWH a highly successful Institute within UCL.
The process is founded upon IfWH considering all staff for promotion/accelerated increments/contribution points on a regular basis.
- Line Managers will discuss and agree with staff at their UCL Appraisal what their plans are for promotion.
- HoRDs and the Institute Manager will consider the results of the Appraisal for each member of their respective staff with the Line Manager.
- A review process will be led by HoRDs and the Institute Manager at the IfWH Exec who will discuss all their staff, and present those specifically for consideration.
- IfWH Exec confirms who is encouraged to apply for promotion.
- By 1st October HoDs will receive staff promotion list to review with line managers, bearing in mind upcoming Senior Promotions round and accelerated incremental and contribution round in December.
- The Institute Manager will inform all staff of Senior Staff promotions when date is launched by UCL and at that time internal review date, timeline and process will be circulated.
- The process normally takes 6 weeks from launch to application deadline and all applications must be ready and submitted for internal review by week 2 to ensure adequate time is given for feedback and amendments. The Director has to write a HoD supporting statement for each application and details from line manager and applicant to support this must be submitted 1 week following candidate application submission on-line.
- Staff are informed of Faculty deadline for incremental/contribution points applications a month in advance of application deadline for December, (this is a 4 week process). Applications must be returned by end of week 2, to be reviewed by IfWH Exec in week 3.
- The staff promotion list will be updated and re- sent 1st April or earlier dependent on Faculty deadline, to begin the promotion process for the Research promotions deadline for May and incremental and accelerated/contribution points for June. Both are 4 week processes.
- For non-clinical professorial rebanding, the process begins in February with notification from the Faculty. Appraisals should be carried out on the PAR system no later than 1st May. CV, support letter and banding form should be sent to Faculty by 1st May.
Accelerated Incremental Progression and Award of Contribution Points
- Award of incremental progression and contribution points applies to all staff on non-clinical grades 1 – 9, clinical staff on grades CL7, 8, 9 and StR Scales
- Deadlines for applications are: December and June each year
- Awards implemented: Awards approved in December are implemented the following February. Those approved in June are implemented from 1 August
- Paperwork: Request for Accelerated Incremental Progression or Award of Contribution Point form
- Criteria: Sustained outstanding performance against stretching objectives. For Professional Service Staff evidence of performance in line with UCL’s Ways of Working can be used to evidence cases
Research and Teaching Promotion to Grades 7 and 8
- This applies to staff in Research and Teaching staff posts below grade 8 (6B to 7, 7 to 8) for promotions to grades 7 and 8. Staff should build their own case for promotion based on their personal achievements and impact and should use the criteria set out in the UCL Academic Career Framework following the Academic Promotions Guidance. academic-career-framework
- Deadline for applications is: May each year (or as stated by Faculty).
- Awards implemented: Awards are implemented 1st August (note promotion cannot be backdated)
- Paperwork:
- Request form for Research Staff to Grades 7 (Research Fellow) & Grade 8 (Senior Research Fellow) or Senior Teaching Fellow Grade 8
- A CV which must contain at least the required elements specified in the CV template
- A brief self-assessment indicating how the candidate’s activity matches the criteria for promotion contained within the Academic Career Framework. This should be no longer than one side of A4; a detailed description is not required in this statement, but the candidate may wish to indicate the impact of their work and their future direction

Senior Staff Promotion
- Applies to: Academic, Research and Teaching Staff, for promotion to grades 9 and 10
- UCL Deadline: launch date usually October, deadline for applications usually December
- Awards implemented: The following 1 October

Re-banding of Non-Clinical Professorial Staff
