UCL Access and Widening Participation privacy notice for under 14s

Who we are

The Access and Widening Participation Team is part of University College London (UCL), a university in London.

We organise events for children who are interested in going to university but who need more information, or a bit of help to be able to go to university.


What we do

We run events and programmes to help people who may need a bit more support to go to university, and help you get to know UCL.

These may:

  • Help you to improve in subjects at school
  • Help you learn more about subjects that you’re interested in
  • Give you the chance to visit us

What we need to know about you

If you apply or take part in one of our events, we may need to collect some personal information about you. This could include your:

  • Name
  • School
  • Contact details
  • Date of birth
  • Allergies/food preferences

We may need other information about your background or your health to help us understand how we can best help you.


Photos

Sometimes we take photos at our events so that we can use them on social media or publicity for future events. If we’re going to have a photographer on the day we will let everyone know in advance.

If you or your parent/guardian don’t want your photo to be taken, email us on wp-data@ucl.ac.uk. If, on the day, you don’t want your photo taken you can let a member of staff know. They will make sure that you aren’t included in photos if you don’t want to be.


What we do with your data

We need to show that what we’re doing helps young people who are interested in going to university, so we need to write reports. The reports we write don’t include information about you specifically, but will tell the people who read them about:

• The type of people who went to an event
• What they did
• What they thought about it
• If they go to other events
• If going to events helps with their schoolwork, exams or going to university
• Who goes on to study at university.


Who will see your data

Only staff who work in Access and Widening Participation will see your information, unless the programme you’re on has other partners (if we’re working with other companies, it will be written on the application form.)


Feedback Forms

After you’ve taken part in one of our projects, you may be asked to complete a feedback form. This tells us how much you’ve enjoyed it, what you didn’t like, and if there is anything you think would make it better. We use your responses to improve our events and will sometimes include your comments on our official reports. If we do, we will make sure that you can’t be identified from what you’ve said.
