PS Hub: Countdown to opening - Two weeks to launch

With two weeks until the launch of the PS Hub on 11 March, we wanted to share some important information with you all.

The PS Hub is launching on Monday 11 March 2019 and will be based at St Martin’s Le Grand (SMLG).

By bringing together professional services colleagues at SMLG, the PS Hub will improve service quality as like-minded colleagues can more easily solve problems and share best practice.

Information on the move

With two weeks until the PS Hub officially launches, the project team have shared an update with colleagues who are moving, covering all of the key logistical information.

The professional services teams who will be moving to the PS Hub are:

Accounts Payable
Credit Control
NHS Billing
HR Services
Payroll
HR Systems
HR Workforce Reporting & Analytics
ISD Helpdesk
Switchboard

New post process

A new process for distributing the mail for the teams joining the PS Hub has been agreed. It is important for all UCL colleagues to be familiar with this process which will take effect from Monday 11th March:

Internal post should be marked for each team and building, i.e. Accounts Payable, SMLG.

Post that would normally be left with the team by hand can now either be sent by internal post or via a drop-off facility at Bidborough House. This includes:

Expense claims
Allowance requests
Contracts
Forms/Applications
Visa expenses (HR)

Post should be handed to the Ground Floor reception at Bidborough House. A dedicated mail bag will be collected from there on a daily basis and delivered to SMLG. Please ensure the post is in an envelope marked with the relevant team name when passing it to Reception.

Cheques received by departments should continue to be brought to the FSO in Bidborough House with the appropriate paperwork as currently done. Please note that in due course the FSO will be relocating to the 1st Floor Bidborough House.

For teams that are moving, please remove any room bookings in your current building that have been made after Monday 11 March.

The Estates team will be supporting the move to keep UCL ticking and will be carrying out a thorough piece of work to ensure vital equipment is tracked and moved to ensure services can open as usual on Monday 11 March. Although the team are hoping to avoid service disruption, a move of this size and complexity will naturally present challenges and service users should be aware of potential issues weeks commencing 4 and 11 March.

On the morning of the launch, the teams who have moved to the PS Hub will have the chance to get to know each other and contribute to a PS Hub vision and set of values. The PS Hub is committed to providing service excellence across UCL, and the launch is the very first step.
