TOPS Launch Paperless iExpenses
31 March 2020
UCL’s move to a digital expense claims process will save approximately 90,000 sheets of paper annually – the equivalent of 11 trees.
The TOPS Finance Transformer is pleased to announce the first of its service enhancements – all staff across UCL will now be able to follow a fully paperless process for the submission of expense claims in iExpenses.
This enhancement will enable expense claims to be submitted and processed using receipt images only and will remove the need to submit paper receipts to Accounts Payable, reducing the administration attached to the 45,000 expense claims made a year at UCL!
Sustainability benefits
This has significant sustainability benefits; assuming two A4 paper sheets are required for each claim, this change will save around 90,000 sheets of paper a year and approximately remove 270kg of paper waste for disposal - the equivalent of saving 11 trees. Additionally, there will be no need to archive the paper claims, reducing transport to and from UCL’s records store in Essex (over 35 miles away from campus), therefore cutting traffic, congestion, air pollution and carbon emissions.
