New and improved Interruptions workflow

22 September 2025

Find out about next steps for the Interruptions workflow redesign

We are redesigning the Interruptions workflow on Portico. This will provide a simpler, more intuitive process for students and staff. The look and feel of the Interruptions workflow will be very similar to the Programme Transfer and Programme Withdrawals workflows, providing consistency in user experience for staff and students across Change of Circumstances.

In August, we launched our new workflow for taught students for submit their interruption request. Student webpages and guidance have been updated to align with this new workflow.

The new, enhanced return to study workflow will be launched in October and further communications and guidance will be provided in due course. Benefits will include:

  • All legacy data in the same place

  • Greater transparency of different statuses for departments and other staff involved in the process, like the other change of circumstances workflows

  • Ability for staff to see emails that have been sent to students

  • Improved reporting for all colleagues involved in the process

  • More reminders for students who have not engaged with the steps

  • Checklists for staff and students

We are also working with the PGR teams to agree some minor adaptations to enable the PGR Interruptions process (currently paper based) to also use the workflow. We anticipate that the PGR workflow will be in place from October.

Academic Manual updates

In line with our review and redesign of the interruptions process, the following revisions were incorporated in the Academic Manual changes for 2025-26:

Chapter 2 Student Support Framework

Edits to Section 7 on interruptions to:

  • Account for interruptions of exactly one year and exactly two years (7.2)

  • Clarify wording regarding the start date of interruptions in line with practice (i.e. the intended start date on the application rather than the date of approval), and the discretion afforded to Faculty Tutors in altering the default return date (7.6)

  • Correct information on access to facilities during periods of interruption (7.9).

Chapter 4 Assessment Framework for Taught Programmes

An edit to Section 8 on deferred assessment, to align the chapter with Chapter 2 and with staff and student facing guidance on interruptions and confirm that students should not be charged additional tuition pro-rata to the credit value of the modules (8.3).

APQS has launched an online form to support colleagues in proposing minor updates to the Academic Manual. The form is available at https://forms.office.com/e/uGeqzhUM6u
