Right to Work checks for UG External Examiners

Important Note: Submit outstanding RtW checks asap for EE starting 2024/25 AY

Verified Right to Work checks for Undergraduate External Examiners – DUE ASAP

Board Teams are requested to submit verified RtW checks for new appointments (2024/25 AY) as soon as possible. Please submit relevant documents on the MS Form EE RtW Verification Form and ensure the verification statement meets the HR requirements stated on the HR webpage.

Refer to the HR guidance on 'Online digital Right to Work checks' for British/Irish nationals and complete the relevant online form for appointments outside of TalentLink and ensure this process is done early in the AY. You will then submit the verification email/reference to the External Examining Team once the checks are completed. If you have already submitted Right to Work documentation, then the contract will be confirmed shortly.

An in-person or a Home Office online digital Right to Work check must be conducted for all new Undergraduate External Examiners in the first year of their appointment.

RTW should be provided before external examiner engages with any work at UCL. Members of Board Teams should not engage nominated External Examiners in any work until Registry approval is granted. Board Teams who wish to send papers for EE scrutiny in Term 1 should have already submitted verified RtW.

Education Services will cover External Examiners’ expenses for one in-person visit to check Right to Work which should take place early in the Academic Year (as is feasible).

You are advised to combine the External Examiner’s in-person Right to Work check visit with, for example, a departmental induction event/meeting with students and the wider team. Please refer to our Fees and Expenses FAQs on what expenses are paid centrally.

Please note that Right to Work checks are not required for post-graduate external examiners appointments however Board teams must arrange for Permitted Paid Engagement letter if the EE is required to enter UK. More details are available on HR website on Immigration

If your EE will be on multiple Boards, it is advisable to submit a nomination for the UG level to ensure the Right to Work checks are conducted prior to the start of their appointment. We will then add the additional Board(s), especially PGT level Board, to their record once formally appointed.
