CourseLoop is live

You may have seen in TheWeek@UCL that the new CIM system, CourseLoop, launched on Monday 1^st December. This will help us improve how we manage our curriculum information and make processes easier for staff who work in this area. 

The first major activity taking place in the system is the Undergraduate Copy Call exercise for the 2027 Undergraduate Prospectus, which started on Monday 1^st December 2025 and runs until Friday 6^th February 2026. 

Many other processes are also now available for staff to complete in CourseLoop when needed: Stage 0 (initial course planning), new course proposals, course amendments, course suspensions and course withdrawals. 

Support 

You can find support for using CourseLoop on the CourseLoop Guidance SharePoint site. Here you will find a link to the system, user guides, FAQs and information about the system support model.   

If you require further support, please read our Workflow Support or Technical Support pages depending on the nature of your query. You can then identify the appropriate point of contact from the channels listed there. 

Curriculum Data Maintenance in 2025 

Please note that the annual Curriculum Data Maintenance (CDM) exercise is taking place in SITS/Portico as usual from December 2025 to February 2026. This will inform the Module Catalogue for September 2026. The CIM Services team is already in touch with Faculty and Department colleagues about CDM for this year and hosted a CDM kick-off event at the start of the month. 

CIM and PEP  

CIM improvements and the rollout of CourseLoop are linked to the Programme Excellence Project (PEP). Led by the Vice-Provost (Education & Student Experience) PEP is our initiative to help us review what we teach across the university and embed excellence in all our taught courses.  

In short, PEP (the Programme Excellence Project) is reviewing what we teach, while CIM explains how we manage the information about what we teach. 

Faculties and Departments completed the PEP2B Curriculum Review exercise in August. The data resulting from the review has been migrated to CourseLoop and reviewed ahead of formal Go Live.  

Chapter 7b in the Academic Manual has been updated to reflect PEP changes and the use of CourseLoop, specifically in relation to processes such as course approval and amendments.
