Curriculum Information Management Services team launch

The new team will play a pivotal role in delivering a range of curriculum-related activities and the new CIM system

A new team has been formed within SRS Student Operations. Launched on 1st September 2024, the Curriculum Information Management (CIM) Services team will play a pivotal role in delivering a range of curriculum-related activities and supporting the implementation and management of a new CIM system. 

The CIM Services team sits alongside other teams within Student Operations, namely Student Lifecycle Services (formerly Student Records), who are responsible for managing the student lifecycle. The team is largely made up of colleagues who previously worked in the Student Lifecycle team (SLT), therefore bringing significant experience and institutional knowledge to the new structure. 

For clarity, the table below shows the key functions of both teams: CIM Services and Student Lifecycle Services. The two teams will work closely together on processes that cover both the curriculum and the student lifecycle.

Own curriculum data and processes, and improve the quality of curriculum data  

Manage student records data and streamline student support from enrolment through to graduation and degree documentation production 

Reduce lead times for new programmes and amendments, and reduce complexity in SITS (Portico) to better support any future digital modernisation 

 

Management of the following processes & events: enrolment & re-enrolment, new student and continuing student module selection (Portico processes), Change of Circumstances, progression & award processes, degree documentation 

Decrease the steps and manual processing required at each stage of the lifecycle 

 

Continue to support Department and Faculty colleagues on tasks pertaining to the student record and provide bespoke training on the processes within its remit 

Manage reputational and regulatory risk of potential fines, e.g., from the Competition and Markets Authority (CMA)  

Work with key stakeholders to deliver improvements to processes across the student lifecycle 

Continued support for Faculties to help guide their transition to and adoption of the new system  

Management of student, department and faculty queries across the student lifecycle, providing support to troubleshoot records issues 

Support the implementation of the new CIM system (including build, training of end users and product support) and act as SMEs or “super-users” of the system once live 

Provide ongoing support and guidance following the implementation of new processes and enhancements.  

It is also important to note that the CIM Services team, as part of the new wider CIM function, will enable the delivery of outcomes from the Programme Excellence Project (PEP). PEP’s aim is to find better ways of organising UCL’s current programmes and modules so that systems and processes work better for students and staff, and it is one of the core academic initiatives in UCL’s Strategic Plan for 2022-27. PEP deals with what we teach and will lay the groundwork for how the new CIM system will be built to manage that data, therefore the CIM function is essential to the success of PEP.  

The team will be led by the Head of Curriculum Information Management Services, a new role which is currently being recruited to. The team also includes Curriculum Information Manager, Kylie McCarroll, and a Curriculum Information Manager (Data), Tom Lewis. Supporting Kylie and Tom are five Senior Curriculum Information Officers: Ksenia Burns, Robert Ramos, Fiona Carson, Charlene Smith and Jake Kennedy.
