Re-sending the examination timetable to students

UCL Examinations office will be re-sending an email to all students which will contain their examination timetable. This will be sent out w/c 8th April with the following key messages.

Know your seat number

The purpose of this is to focus the messaging to students to know their seat numbers – this was really effective last year with the majority of students knowing exactly where to go.

45 Minute late entry

This will also remind students of the new ruling on entry into the examination hall. If any student arrives later than 45 minutes they will not be permitted entry into the exam hall and they have missed their exam.

Intercollegiate Dates Published

This version of the timetable will also include all intercollegiate dates – some colleges are still timetabling therefore we are not able to publish this information until this was ready

Manual additions to the timetable

Where students did not have a module on their timetable due to late module changes we have added these manually to the timetable and this will then be displayed in the email that is sent to students. Please note for any modules that students are no longer taking these will still appear on their timetables and students should be advised to ignore this information.


Script Collection & Examinations Base Room

The Examinations Team is re-locating to 3 Gower Place from Monday 18th February the main office will be located on the 2nd Floor.

The delivery of examination scripts from the ExCeL will arrive late each evening, therefore this will mean the exams team will need to unpack over 200 boxes each morning in readiness for script collection. If an examiner wishes to collect their scripts from the ExCeL on the day of their exam please email examinations@ucl.ac.uk so that we can ensure that the scripts do not get boxed up and returned to Campus. To ensure that we are aware of this please advise us at least the day before the date of the exam.

Please cite all modules codes in the email notification and ensure that colleagues bring UCL ID with them – we will not be able to release any scripts without sufficient ID

Examination Adjustments

The deadline for the receipt of applications from students applying for examination adjustments for the Main Examination period has now passed.

Late Applications will only be considered if the student has suffered from a sudden illness of accidental injury. Applications must be received by Student Support and Wellbeing no later than 7 calendar days before the examination. If applications are received after this deadline, then the student will need to apply for a deferral to the next examination period under the extenuating circumstances regulations.

Easter Closure
The SSW team and Exams teams will be working over the University Easter Closure – therefore students should make applications as normal during this time. 


Examination Adjustment Rooms

We are running individual examination adjustment rooms for the morning and afternoon sessions of each exam day.

This means that a student taking an exam in the morning and the afternoon will be in a different examination venue.

Submission of departmentally printed Examination Papers

The deadline for submission of electronic examination papers to the exams office has now passed. Due to the external printing process, UCL Examinations has had to adhere to tight deadlines with the printers.

Departments will now need to print examination papers and submit hard copies to the examinations office:

  • All examination papers must be submitted with the exam paper cover sheet that the exams office issued to departments (you may annotate one that has been sent)
  • Ensure that that the information on the cover sheet is correct – paying particular attention to the exam hall instructions and year of study
  • Print enough copies for every candidate taking the exam
  • Print spares for students that are taking their exam in an exam adjustment venue

The deadline for the submission of departmentally printed papers is 5pm Friday 12 April 2019. Due to University closure, we need to ensure that we have all examination papers and materials with us by this date to enable us to prepare for delivery of papers to the ExCeL and preparation of examination packs for students taking an exam with an adjustment.

For any examination papers that we have not received by this date we will not be able to run the examination centrally and the exam will therefore need to be accommodated in the department.


Late entry in examination hall 

Students arriving less than 45 minutes late will be permitted entry into the examination hall but will forfeit any time already elapsed.

Students who arrive more than 45 minutes late will not be allowed entry into the exam hall and will NOT be able to take their exam in the department. If late arrival is due to sickness or other valid Extenuating Circumstances students should submit an EC form in the usual way.
