UCL Research Equipment Catalogue Policy

It is a requirement of many external funders to maintain and publish data on Research Equipment and facilities funded using grant funds.
The UCL Research Equipment Catalogue is a searchable database containing information on all of UCL’s major research equipment and facilities and was created to encourage equipment sharing and collaboration, and to improve the utilisation of existing equipment and facilities. Equipment owners and facility managers are strongly encouraged to facilitate multi-user sharing of the equipment wherever possible.
UKRI Terms and Conditions state that, ‘All new equipment purchased over £138,000 (£115,000 ex VAT) must be registered on the “Equipment.data” national database’. Equipment.data enables searching across all published UK research equipment databases through one aggregation portal, allowing greater accessibility with the aim to improve efficiency and stimulate greater collaboration in the sector. The easiest way to register equipment on Equipment.data is via the UCL Equipment Catalogue and making sure the equipment item is publicly visible.
Research equipment funded via the UCL Research Capital Infrastructure Fund (RCIF) should also be added to the database. RCIF is overseen by the Office of Vice Provost (Research, Innovation & Global Engagement) and funds are allocated to Schools, for strategic investment in research equipment and facilities.
How to Access and Update the UCL Research Equipment Database
Principal Investigators (equipment owners) and/or Facility Managers have the overall responsibility of ensuring that these records are kept up to date.
Departmental Managers and Administrators have been assigned catalogue administrative permissions and can manually add, edit or delete any item from their own department. They also can delegate admin access to Facility Managers and Principal Investigators.
Please email the Research Equipment team if you have any queries about the catalogue or need access. To access the catalogue sign in using your UCL username and password.Details of new equipment of over £138,000 (£115,000 ex VAT) must be added to the catalogue. Items costing less than £138,000 (£115,000 ex VAT) can also be added if the owners wish to attract users. Any equipment items disposed of or no longer in use should also be removed.
