Personal Tutors - how to book
Personal Tutor clinics are regularly held throughout the year so you can book in and discuss any concerns or issues that you're having.
Clinics and Appointments
Personal Tutor clinics are regularly held throughout the year so you can book in and discuss any concerns or issues that you're having. Please use the navigation below to make sure you book with your tutor! And read more on the Personal Tutoring page about the way the scheme works.
To make an appointment, please read about who to book with, and why, then:
- Follow your personal tutor’s link from the list below and check their availability
- Select a time that suits you and click ‘confirm’
- Fill in your details, select the appointment type and give a brief reason for the appointment so that your tutor can be prepared ahead of the meeting
- Hit ‘schedule event’, and you’re done!
A calendar invite will be sent to you, and a Teams link if you want to meet online. Appointments will last for 20 minutes. If you cannot make your appointment you must let your personal tutor know in advance so that the time isn’t wasted and can be offered to another student.
Year 1 and 2:
Every student is assigned a Personal Tutor who will take them through Year 1 and 2. They can provide academic support, pastoral advice, or refer you to further sources of support. Your tutor would like you to catch up with them once a term at least, even if all is well, and they can provide more frequent and ongoing support if you need it.
You will have been assigned a Personal Tutor at the start of the academic year - please be sure to book with your own tutor. If you're not sure who your personal tutor is, you can check in ASR.

Year 4 and 5:
Each student will have a Personal Tutor to look after them throughout Years 4-6. For Year 4 students from 24/25, this will be one of our designated Personal Tutors, with dedicated clinic time for seeing students. Please be sure to book with your own tutor below. Students in older years may have a personal tutor who is a consultant on your Y4 site, or a GP.
If you've got more serious concerns or issues, can't get through to your own Personal Tutor, or have something site-specific that you're worried about, please contact medsch.personaltutors@ucl.ac.uk so we can help.

Emergencies:
If you are in an emergency:
- If you're experiencing a health crisis, call 999, and/or go to A&E.
- Contact the crisis support that you need - this page lists several helpful options.
- Get in touch with the Medical School when you're able, so we can get the right support in place for you as quickly as possible.
Cancellation Policy:
Please give at least 48 hours’ notice if you wish to cancel or amend an appointment so that the slot can be made available to another student in good time. Failure to do so could result in your personal tutor rebooking you, or referring you to the Personal Tutoring team. Repeated absences, or not responding to your personal tutor at all, will lead to a CoAE.
Notes:
Notes from all appointments are made available to you in our Academic Student Record (ASR) as a reminder of the agreed plan of action or contact details. This note is retained in ASR but Personal Tutoring notes will remain confidential and will not be shared outside you and your personal tutor without your consent, unless it relates to Fitness to Practise issues.
