Media equipment loan service for UCL academic staff

To assist with the blended learning approach and continuing plan for online teaching at UCL, ISD Digital Media are offering a media equipment loan service for academic staff.

About the service

If you need to create media content to support your teaching and research you can now use our media equipment loan service. All equipment comes in a handy carry case which includes: power supply and memory card (for cameras), battery charger, battery, remote control, and all necessary leads to connect to your computer. We try and combine items into kits which will include a microphone, tripod, and LED light as required. If you have very specific kit requirements, the team has an extensive knowledge of products and great relationships with our suppliers, with the ability to purchase many items with an education discount. If you wish to purchase any items we are happy to assist you in this process.

When borrowing an item from our stock, you assume full responsibility for it and are expected to return it in the same condition as it was loaned to you in. Departments or individuals will be charged for any missing or broken items. Please read see the terms of service before borrowing any equipment.

If you wish to use the service, please contact the Digital Media team via email in the first instance to discuss your requirements. The team will be happy to advise on the best solution for your needs and can offer tips on video and audio recording.

Operating during the pandemic

This service operates in a Covid safe manner and there are strict rules around the collection, use, and return of equipment. To conform with Covid regulations, all equipment is quarantined for 72 hours before being re-loaned. Please refer to our FAQs at the bottom of the page for more information.

FAQs

Where do I go to collect/return equipment?

The Digital Media team running this service is based in the Cruciform Building. Please enter the Cruciform through the main entrance on Gower Street, show your ID to security upon entry if requested and please use the hand sanitising points. You should avoid using the lift if possible and instead take the stairs to the basement. Collections and returns are made from Room B.3.09 which is along the same corridor as Cruciform Lecture Theatre 1. 

It is advisable to ensure that you always keep two metres apart from others along the corridors and follow the floor markings to the room.

Please note: masks must be worn within the Cruciform building.

What are your opening hours?

Opening hours in Term 2 will initially be from 11:00 am to 3:30 pm on Mondays and Thursdays. Loans are issued by appointment only to ensure all safety conditions can be met - please don't turn up without an appointment. During the current Tier 4 lockdown, there will be a restricted service due to staff availability but we will try our utmost to assist all staff where we can.

How long can I borrow equipment for?

Loans are currently either for three days midweek (Monday to Thursday), four days including a weekend (Thursday to Monday) or 1 week (Monday to Monday or Thursday to Thursday).

Bookings must be made at least two days in advance. To book a slot for collection, contact the team. Once your booking is confirmed, this is your appointment time, if you miss it we may have difficulty in offering you another time slot. Items must be returned on the date and time agreed.

If you require technical support whilst loaning the equipment this can be done remotely if required, or please state you need assistance when booking and we will where possible allow extra time.

Can I specify what equipment I want?

Wherever possible we will try to provide users with the equipment they request but this cannot be guaranteed. It will depend on our stock levels and the quarantine (72 hours) and subsequent cleaning of returned items.

Please note: Lavalier Microphones and voice recorders are currently unavailable due to the difficulty in ensuring they are clean and safe to use between loans, however, these can be purchased via IDT, if these are considered a necessity. Shotgun microphones, windshields, stands and Boom Poles are available.
