What’s new from our Digital Portfolios this term?

6 June 2025

From launching a new version of our staff experience app, InsideUCL, to advancing the Estate’s 2050 Vision our Digital Portfolio teams are working behind the scenes to improve the digital experiences of our staff and students.

A group of UCL staff standing and engaged in conversation

Running across two days every term, the Termly Increment (TI) Planning event brings staff from across UCL together to review priorities, discuss and plan work, and make sure that our digital services continue to effectively support research, education, and professional services.

Our latest event, held on Wednesday 30 April and Thursday 1 May, set the direction for an exciting term ahead.

Here are eight key improvements that you can look forward to:

Releasing an updated version of our staff experience app InsideUCL

We are launching new improvements to InsideUCL alongside rebuilding its home page. Driven by user feedback, these changes will align with the new UCL Design system focused on better user experience and accessibility.

A streamlined contract signing and completion process

This term we are developing a streamlined contract signing process with new and updated templates and terms of trade. This will speed up the process, reduce delays, and make it easier for research and support staff to submit contract requests.

Automating the reasonable adjustments processes in Moodle

We want our students to feel supported and make full use of the mitigations available to them. We are working on automating the process for Summary of Reasonable Adjustments (SoRAs), Extenuating Circumstances (ECs) and Delayed Assessment Permits (DAPs).

This will enhance the student experience as well as reduce administrative burden across departments.

Improving cyber security across UCL

Cyber security is a priority for our staff and students. We are installing security protection tools on our devices across faculties to reduce the risk of security incidents occurring.

Advancing UCL’s Estates 2050 Vision by expanding assistive technology equipped spaces

We are supporting our Estates 2050 Vision with the installation of MobileConnect assistive listening technology across five new teaching spaces. By making our learning environment more inclusive, we can better support students/staff with accessibility requirements and enable a more streamlined timetabling process.

Introducing integrated chat functionality in MyServices

We are improving MyServices by integrating chat functionality into the platform. This will allow agents to see the tickets relevant to calls, enabling a faster and smoother ticket resolution process.

Streamlining the Clearing process with an improved Staff Clearing dashboard

We know that Clearing can be a fast-paced and stressful period. To make this process easier for staff and applicants, we have developed a new Clearing application form and made key enhancements to our staff dashboard. This will support faster decision-making and onboarding.

Upgrading the Electronic Reseach Notebook (ERN) service with advanced features

Supporting our research community is a priority for UCL. This term, we will be upgrading the Electronic Research Notebook including an updated layout for easy navigation, and a new chemical drawing tool.

We have summarised eight key highlights, but our teams are working on delivering various other improvements across different areas. You can find out more in our TI highlights presentation for Term 3.
