How to add a license in SNOW

Before you start...

You will need a SNOW user ID, to access this product (this is not your UCL user ID).


Instructions

1. When you log into SNOW you will arrive on the Home page showing either a default (Snowboard) or custom dashboard (if created).

2. Licenses are added via the license form and can be accessed by either of the following 2 options:

  • via the Default Snowboard Shortcuts > Add license
  • by the Licenses drop down tab > Add license

3. The first tab of the license form is the Purchase tab, this is where you can do the following:

  • select the date of purchase
  • search/select the software application by clicking on the magnify glass icon
  • add an agreement if the license is linked to an agreement or maintenance 
  • no. of licenses
  • total purchase amount of licenses (eg. if 10 Photoshop elements licenses were brought @ £27 each, Total purchase amount = £270
  • there are also options for upgrade/downgrade rights and subscription period, these will be automatically populated if the linked agreement has these details

4. The Allocation tab is where you assign licenses to your department/business unit (BU), it is important that you do not assign licenses to an incorrect department as you will lose visibility of the license and will need to contact IT Purchasing to assign the license to the correct department.

From here you can do the following:

  • select department from pull-down list
  • select the amount of licenses for each department

5. The information tab is where you can do the following:

  • enter an external ID/reference/request number
  • select the vendor from the pull-down list or enter if not already in the list
  • enter the license proof location, eg. either the file path name of an external shared network drive or a comment stating that the license is attached as a document
  • enter the media storage location, eg. the file path name of an external shared network drive
  • enter serial keys

6. The documents tab is where you can attach license files or any other license details to the license form
