Guide to accessing MyHR modules

Certain MyHR modules are provided automatically and others require authorisation, find guidance and an access request form below.

MyHR Access

MyHR integrates with MyFinance providing a single, fully integrated HR, Payroll and Finance management system.

Certain access to, and use of, MyHR is restricted to authorised individuals.

The following access is automatically assigned and does not need to be requested:

  • Employee Self Service
  • Manager Self Service
  • My Learning

The following modules do require authorisation:

  • Self Service Administrator
  • Department Transactions
  • Payment Approver
  • My Reports (OBIEE)

Guide to MyHR Modules

Employee Self Service

Employee self service enables you to review and confidentially update your personal details, including your bank details, and your equalities data. You can also view details of your appointment plus review your training record. This role will be automatically assigned to a new employee.

Manager Self Service

Manager self service enables managers to view details of employees assignments, view training records, record and/or approve an employee’s absence, including sickness absence, and record probation and appraisal completion dates. This role will automatically be assigned where the role recipient has been recorded as someone’s supervisor in the system.

My Learning

My Learning provides access to training records, view the UCL course catalogue and book courses.

Self Service Administrator

This will give the user access to personal and employment data. The user can record and approve absence on behalf of the manager, including sickness. They will receive all absence related notifications raised within their area. The individual will be able to see all staff at the Department requested, and all sub-units for this department.

The Self Service Administrator role must be requested and assigned by either the Head of Department or the Director of Operations.

Department Transactions

This will give the user access to personal and employment data to enable them to submit requests to HR Services and Payroll including contract requests, changes to appointments, one off payments and leavers. The individual will be able to see all staff at the Department requested, and all sub-units for this department. Department transaction training is available on the MyHR User guides and online training page https://www.ucl.ac.uk/human-resources/about-hr/myhr/myhr-user-guides-and... in the form of guides that provide a step by step walkthrough of the various workflows in Department Transactions in a PDF format. 

The Department Transactions role must be requested and assigned by either the Head of Department or the Director of Operations.

Payments Approver

This access allows individuals to approve payments that have been created by another user. In line with Finance regulations, it is a requirement that the person who submits the request is a different from the person who prepares the request.

The Payment Approver role must be requested and assigned by either the Head of Department or the Director of Operations.
