Systems affected by MyHR go-live

A number of IT systems will be affected by the launch of MyHR. Please take note of any outage time and plan ahead to avoid as much disruption as possible. More information will be added to these pages as we get nearer to go-live.

MyView 
MyView is now unavailable to book leave or change addresses (except to access payslips and P60s). It will be replaced by MyHR Self-Service. MyHR will offer more self-service functionality than MyView. You will be able to update your personal details quickly and easily, including your bank details.

MyView unavailable except to view payslips and P60s

Use your department’s local interim processes for recording absence including annual leave and sickness

6 Feb

MyHR Self-service is available. Use this to:

  • Enter details of annual leave booked/approved during the downtime
  • Enter details of sickness returns
  • View payslips dating back to April 2013 (migrated from MyView)

Please note: After go-live P60s will still be accessed through MyView until further notice.

Service in Partnership (SiP)
  • SiP is available to submit new starter contract requests
  • Access SiP
     
  • MyHR Department Transactions will go live shortly and will replace SiP
  • Any requests, except for new starter contract requests, will need to be held until Department Transactions goes live.
  • Please note: HR Services will not be issuing contracts during the interim period. 
  • Please be aware when MyHR Department Transactions goes live February HR services will need to manually key-in information captured during the downtime. This may result in a delay.
MyFinance
  • MyFinance is now available
ResourceLink

ResourceLink will be available until 5pm on 22 January  (after payroll, AP) 

Single Training Booking System (STBS)
  • STBS is now unavailable to book instructor led courses
  • If you have any queries about instructor led courses please contact the training providers using the following contact details:
  • MyLearning will replace the Learning Electronic Records System (LERS) and the Single Training Booking System (STBS).
  • MyLearning will go-live on 17 February 2020.
Learning Electronic Records System LERS
  • MyLearning will replace the Learning Electronic Records System (LERS) and the Single Training Booking System (STBS).
  • MyLearning will go-live on 17 February 2020.​​​​​​
DAM
  • DAM will be unavailable from 5pm on 22 January 2020.
  • A new reporting system will be available called MyReports from 6 February 2020.
  • The most commonly used reports from DAM have been created and will be available in MyReports.

Redeployment System
  • The Redeployment system is being replaced by MyHR
  • The redeployment system is available until 5pm on 22 January
  • The request to place a vacancy on ROME remains unchanged. Vacancies can still be submitted on ROME and posted to the internal recruitment site for any redeployees to apply in line with existing process
Services System

Services System will be unavailable from 12pm on Friday 31 January until 6 February

The process for anyone who joins UCL from this point onwards, and has not had a contract issued to them, is as follows:  

  • The new starter will need to be set up on Services System by 12pm on Friday 31 January.  This will ensure they get access to UCL buildings and are issued with a temporary visitor ID card from the Andrew Huxley Building to use in the interim period. Once the new starter is set up on MyHR Department Transactions (post go-live on 10 February) they will need to replace this card with a permanent staff ID card from the Andrew Huxley Building. The IT access for the new starter, once set up on Services System, will be unaffected 
  • Please note: the Services System will be unavailable from 12pm on Friday 31 January until 6 February.  It will not be possible to add any new starters after 12pm on Friday 31 January until MyHR goes live on 6 February.  
  • If you are expecting people to start during this time, please ensure they are added to the Services System with a start date before 3 February. Otherwise they will not be issued an ID card or IT access until 6 February.  
Reminder System
  • The reminder system (e.g. reminders for probation, appraisals, end of contract and new starter) will remain available.
  • You will continue to receive email reminders until MyHR goes live however the data will not be updated after 5pm on 22 January 2020.  
ROME
  • Successful candidates are no longer able to complete their onboarding data in ROME.  As an interim process, on receipt of a contract of employment, individuals will be provided with a paper form to complete. 
  • From 6 February any successful candidates will need to complete their onboarding data in MyHR Employee Self-Service on day 1 of their employment.
Senior Promotions

Senior Promotions will be unaffected by the system outages.

EROS
  • EROS is now unavailable and will be replaced by MyHR on 6 February
  • Interactive user guides will be available at go-live to support users

  • Recruitment On-line Made Easy (ROME) inbound bank details interface (Replaced by standard functionality within Oracle)
  • Reminder Systems (i.e end of contract, appraisal, probation, new starter)
  • Corporate Courses on Moodle administered by the following training providers (Arena Centre, ISD, Organisational Development, Safety Services and Finance and Business Affairs) – Replaced by the LearnUpon Platform, administered via OLM.
