The HR Systems and Business Process Team is responsible for:

HR Administrative Systems and Processes

Senior HR Business Process Advisor Duties
The main duties for HR Administrative Process are listed below:

  • Training UCL administrators on how to use the range of UCL HR administration systems. Request for training can be sent to or booked via the OD website
  • Analysis of employment administration problems or change requests
  • Specification of system/process improvements
  • Supervision of new systems design
  • User acceptance testing (UAT)
  • Implementation of new processes and systems
  • Data quality control
  • Production of procedure and process manuals for HR systems
  • Audit of HR systems and processes
  • Interrelationship of administration systems across services

Office Administrator duties
The main duties of the Office Administrator are listed below:

  • Processing advertisements
  • Processing requests for temporary staff from agencies Payment of advertising and temporary staff agency invoices

Placement of Advertisement

Service Standards
Once an appropriately worded advert (see guidance at is received this will be processed within 5 working days of receipt. These turnarounds are subject to the appropriate proof of funding, the financial approval reference number (where appropriate) and the job evaluation reference being supplied. If the advert is going to print, Departments are required to sign off the final proof of the advert prior to its placement (nb proofs are not provided to Departments for verification prior to placement on websites).

HR Systems Helpdesk

The HR Systems Helpdesk opening hours are 10:00 to 16:00 Monday to Friday. An answering service operates for calls received outside of core hours.

Service standards
In addition to the generic service standards set out at, help desk problems will be acknowledged upon receipt and where possible responded to the same day. Where this is not possible, the service user will be notified and given an estimate of how long a response is likely to take. For further information, please see our Service Level Agreement document.
