Work Permits

UCL Estates has an online system for permit authorisation, issue, closure and reporting.

Anyone requiring a permit issue for departmental purposes should contact the relevant UCL Estates manager who is instructing, controlling or authorising the works that require a permit.

To access the system, you will need to be given permission - please speak to Emma Shirbon.

Before issuing a permit to work;

1. There must be suitable and sufficient Risk Assessments and Method Statements (RAMS) in place for the activity.

2. The activity must be co-ordinated with the building users to ensure any departmental hazards are taken into account. Please speak to the Area Facilities Managers, who can provide departmental contact information.

KEY ISSUE (PLANT ROOM, ROOF ACCESS ETC.)

To authorise the issue of keys for entry to rooms/areas controlled by UCL Estates

INSTRUCTION TO DISCONNECT

Instruction to electrician/engineer to disconnect plant/equipment/systems/area and to provide confirmation of the disconnection before work on the plant/equipment/systems/area takes place.

D

ENTER RESTRICTED AREAS

To authorise the entry into restricted areas under the control of UCL departments e.g. laboratories or biological services unit.

E

CONFINED SPACE

To authorise work in a confined space. This permit requires confirmation of the isolation of electrical/mechanical systems air monitoring and rescue equipment.

F

HOT WORK

To authorise hot work. This permit requires specified safety checks to be carried out by the person carrying out the hot work.

 FIRE ALARM SYSTEMSSmoke detection changes may be request during construction or other works to prevent unwanted fire alarms. Please see Technical Note 56

G

WORK ON SPECIFIC SYSTEMS

To authorise work on a specific system (plant or equipment). This permit requires confirmation of isolation or safety checks of electrical and mechanical systems.

LABORATORY CLEARANCE CERTIFICATE

Laboratory Clearance Certificates are not part of the database system and do not require authorisation, it has been included in the Home Page Menu for convenience of access and printing. Laboratory Clearance Certificates are for the use of Project Officers/Managers to obtain, from the occupying department, confirmation of laboratory clearance or adequate safety control measures before the area is handed over to a contractor.

 Out of Hours Working

Out of Hours Form

UCL Estates staff must give notice of out of hours working for the coming week.

Out of hours working is any work taking place outside the hours of 7am to 7pm, Monday to Friday or during bank holidays and closure periods.

Permit closure

All permits should be returned to the Security at Foster Court for closure, along with any keys drawn with the permit.
