Supporting our staff and students with Personal Emergency Evacuation Plans

28 May 2024

The Fire Safety team have been working with staff to ensure everyone is prepared and supported to safely evacuate our buildings in the event of an emergency

As part of your local induction when working in a new building, you will be taken through the emergency escape route. If for any reason you are unable to use this route, your department should work with you to agree a Personal Emergency Evacuation Plan, or PEEP.

How to get a PEEP

PEEPs are personal plans and any student or staff member can request one. The responsibility for conducting PEEPs for staff varies across departments and could be your Head of Department, Department Safety Officer, or another dedicated person with your department. If you would like to discuss a PEEP, speak to your line manager in the first instance.

Supporting staff and students to evacuate safely: Improving the PEEP form and process

We are committed, and statutorily obliged, to provide and maintain a safe and healthy environment for our staff and students. And we want to encourage and foster a culture where everyone is aware of their individual health and safety responsibilities.

Over the past year, as part of our Inclusive Environments Action Plan and following a consultative process with staff, UCL has improved the user-experience of creating PEEPs and developed new training and guidance for staff responsible for conducting them.

Key improvements include:

  • Simplifying the PEEP form to make it easier to complete, without compromising the vital information required to ensure personal safety during an evacuation.
  • Using more inclusive language in the PEEP form to ensure it is accessible and equitable for everyone.
  • Updating guidance documents that can be found on the Fire Safety SharePoint site.
  • Developing a new training course to help ensure staff responsible for completing PEEPs are trained and confident to do so.

Who needs to complete the training

The new training course is open to all staff. You should complete the training:

  • if you have line management or student support responsibilities;
  • or if you are uncertain how or when to start a PEEP, or how to fulfil a request for a PEEP.

Our commitment to creating more inclusive and accessible environments

Last year, following a three-year consultation process talking to and listening to our community’s experiences of studying and working on campus, we published the Inclusive Environments Policy and Action Plan. We have now published a SharePoint site where staff and students can see everything we’re doing to create more inclusive and accessible environments.
