Duties and

Responsibilities
The Executive Assistant is responsible for providing full administrative and executive assistant support for the Institute Director and Institute Manager, and works closely with the Professional Services Team.  
 
The postholder manages all correspondence (electronic and paper), diary management; arranging appointments, visits, preparation for meetings, interviews and other events. S/he is responsible for the smooth running of the Director’s office, establishing office systems to maximise efficiency, anticipating the Director’s administrative needs and ensuring that all work is produced to the appropriate quality and meets specified deadlines. The postholder will liaise on a regular basis with staff within and outside the Institute, including the Faculty of Brain Sciences, School of Life and Medical Sciences and central UCL, together with the Royal National Throat, Nose and Ear  Hospital, UCLH NHS  Trust and key external organisations and major charities, such as the Medical Research Council and Wellcome Trust. 
Key Requirements
Applicants must have substantial directly relevant experience of committee work including co-ordinating meetings and activities across institutions with senior colleagues, devising agendas, circulating papers, taking minutes and coordinating follow-up actions.
 
Experience of project management and organising medium to large scale of events is essential.
 
Applicants must be well organised with particularly prominent interpersonal and communication skills, minute taking skills and excellent IT skills and competency in all common software packages including Power point, Word, Excel and Access.
