Information if your poster is paid for via an IDT

The information below will explain the details you need to provide as a member of UCL Staff or student if your department is covering the cost via an IDT (Inter Departmental Transfer)

To offer you the best possible service we need the following information from you:

  1. Your name and department.
  2. The size you wish your poster to be printed, e.g. A0, A1, 900mm x 600mm etc.
  3. The type of material, satin photo paper or foldable fabric.
  4. The software program and the version (e.g. PowerPoint 2013, Adobe CC Photoshop, Illustrator etc.) Also the computer platform you used to create the file, either Mac or PC.
  5. State if lamination is required, and if it is required, please state whether you want a gloss or matte finish. Please allow an extra 2 working days for the lamination process.
  6. Tell us the very latest date you can collect your poster.
  7. Your PTA code as the method of payment

Sending your files for printing

When you have your files ready to print, if your department is paying then please send your print ready filas an email attachment (no greater than 10 MB) to: posters@ucl.ac.uk

If your file is bigger than 10MB then email posters@ucl.ac.uk and share your 'print ready' file via OneDrive.

Payment - Using a UCL Finance Internal Departmental Transfer (IDT) :

The cost of your poster may be covered by your UCL department or research group, all such payments are made via Business Operations team using the UCL IDT system. To process the payment, it is vital that you supply the details and the name of the IDT approver or your PI / Administrator.

If your UCL department is paying for your poster by IDT, then when sending us your poster file, we will need the following information which is available from your Departmental Administrator or Finance Officer:

  • Department code: e.g., FJ8 (Educational Media)
  • Project code: e.g., 5xxxxx (6-digit number)
  • Task code: e.g., D-CON, D-OTH, D-TRA, 100 etc.
  • Award code / number: e.g., 123456 (6-digit number)
  • The Name and email address of the IDT approver or administrator:
  • Please 'cc' and include the IDT approver or administrator in your email request.
  • Without all this information, we cannot start the printing of your poster.
  • Before collecting, it is always advisable to check with us that we have all the necessary information/approval, as your poster cannot be released until we have all the correct payment information.

NB: We process all IDT payments through UCL Finance Business Operations team and your approver is not required to undertake any action. Although, please accept that on occasion we will need a staff member from your department’s admin team to confirm or help with the specified PTA if there is an issue.

Alternative order and payment process

  • For external users of our service we can accept either credit or debit card payments. 
  • All UCL students are welcome to use our service. Undergraduate and Postgrad students whose department is not covering the printing costs can use our Web to Print portal - Print-Space. VAT will be added at the current rate to all card payments.
  • For UCL staff, we have to advise that UCL Finance will not allow you to reclaim this as an expense and card payments will only be taken on this understanding. All card payments incur the additional VAT cost.

Refunds

We do not offer any refunds once a payment has been processed.
