UCL filming and photography consent
Whether you are a member of the UCL community or an external partner working with us, you must ensure that anyone who is visibly recognisable in your photos or videos has given written consent.
Planning a shoot
If you are commissioning or organising a shoot, you are responsible for collecting the necessary permissions, to ensure you have consent from each person who is photographed or filmed and is visibly recognisable.
For UCL staff and students
Everyone being filmed or photographed should complete the UCL Filming and Photography Consent Form. Submissions go directly to the Brand team.
Got consent?
Email the Brand team with the name and date of the event; who has already filled out the consent form; and who you expect to do so.

Once you have written permission to film at UCL, make sure any external suppliers are aware of their legal obligations.
Third-party organisations capturing or using images or video of identifiable individuals must comply with UK General Data Protection Regulation (GDPR) and the Data Protection Act 2018, including having a lawful basis for processing and providing clear privacy information to individuals.
See below for more information on legal requirements.
Filming and taking photos at events or on campus
If you wish to film or take photographs on campus at UCL, or at public or private events, you must let attendees know in advance.
You could do this by including a statement on the invitation or event booking confirmation.
You should also place privacy notices in a prominent place at the venue or in the UCL space, so people can opt out if they wish.
Template available
Our privacy notice template includes a QR code that links to the consent form. UCL staff and students can find it on Imagestore.

Under the UK’s General Data Protection Regulation (GDPR), images and video of identifiable individuals are considered personal data.
This means GDPR applies to most filming and photography activity, although assessing what qualifies as personal data can sometimes be complex.
