Deaf Messaging Service (DMS) Facilities at 49 Square

- Coffee machine – located in reception area. All staff are asked to refill the coffee machine when it runs out of water. You are responsible for bringing capsules for the coffee machine.
The UCL form is designed to enable individuals (staff, students, visitors, etc.) to notify safety services as soon as possible of the significant details of any accident, near-miss incident or loss of and/or damage to equipment, which has occurred on UCL premises or off-site on UCL business. The report is usually completed by one of the following:
- the person who has had an accident, or
- by a witness of an incident, or
- by the supervisor of an injured person
The on-line reports should be completed without delay. The system will notify the Divisional incident coordinator (George Joseph) who will then in turn notify DCAL's Safety Officer (Daniel Diaz). If you wish to keep a hard copy of the report, the system allows you to print a copy, at the same time it is useful to print another copy and pass to a DCAL Safety Officer.
While space is provided for adding detail on the incident, this must not delay people from sending in the completed report. The purpose of the form is to enable staff to report accidents and incidents with the minimum of delay - providing sufficient information to record an occurrence (people, date, time, place, etc.) and to prompt further investigation if necessary.

We would particularly like to stress that all near miss incidents ought to be recorded as it may highlight to us an area of concern, which we can rectify before a potentially horrible accident occurs.
In the event of an emergency within a UCL building:
Deaf Staff – dial 51111 from any internal minicom.
Hearing Staff -dial 2222 from any internal phone.
These numbers are picked up by the UCL Security Office and they will contact the appropriate emergency service – Though this may seem like an additional delay, the operator will be able to direct the emergency service to exactly where you are within UCL. There have been several instances when people have dialed 999 and not been able to give clear information on their location, which has delayed the emergency services.
For emergency maintenance, dial 30000
In the event of an emergency, consider the following…
Make sure you do not put yourself or others in the vicinity at risk.
Clear the area first, raise alarm or alert the appropriate service(s) immediately.
Take sensible precautions - if it is safe to do so turn power/water off, put signs up to alert others, etc.
Follow through – has there been a response to your alarm? What has been done?
Complete an Accident/Incident form without delay
For all staff to use and can be found here: https://www.ucl.ac.uk/estates/maintenance/service-requests/. You have to enter your UCL ID and password.
Note: You can also raise service requests by emailing efdservices@ucl.ac.uk or by telephoning extension 30000 where a member of the Customer Services Centre will deal with your request.These forms must be used for:- Porters – to avoid problems, be very clear (e.g. exactly what you want moved, from where to where and indicate there is no lift in this building)
- Reporting maintenance problems (e.g. radiator not working)
- Request work (e.g. new shelves). These jobs incur charges so you will be asked to send in an Interdepartmental Transfer form (IDT). Please make sure you have permission before you put in these requests!
- Include your contact details, room number (all rooms in this building are prefixed by '49' e.g. room 201 should be 'room 49201')
- Send a copy of the automated response to the Centre Secretary as workmen usually go to reception first. Note: there is no other/quicker way for these requests

- Ground Floor – B01 (Reception) on top of the post unit
- 2nd Floor – Room 201
- 3rd Floor – Room 301
- 4th Floor - Kitchen
Note: If you use any item from a first aid box (other than plasters for a paper cut, shoe blister-type injury), please remember to a) complete an accident form and b) inform the appointed person named on the first aid box which item you have used.
Managers are responsible for housekeeping standards within areas they manage. In particular:
Escape routes are not obstructed by rubbish or equipment Cables are routed to avoid trips Maintenance issues particular worn flooring or similar hazard are reported and interim action is taken promptly Spillages, leaks are dealt with and/ reported to maintenance
See "Building Maintenance' for further informationOut-of-hours working is defined as before 8 am and after 7 pm weekdays, anytime at the weekend and College closures. Only staff and post-graduate students undertaking low risk activities (e.g. office-based) may be given permission to work out-of-hours. Managers must ensure risk assessments are carried out for out-of-hours work and emergency arrangements are considered in the assessment e.g. fire, first aid, security. *see 'Emergencies'
In the event of members of DCAL needing to work during closures, it is essential for them to inform the HoD of their intention, and Security of their presence and departure.
Out-of-hours experimental work is only permitted if covered by appropriate control measures for managing the associated risks, which have been specified in a Risk Assessment for the project beforehand.
Staff, researchers and students are not permitted to work alone with subjects, out-of-hours or otherwise. The PALS Division policy is mandatory. Two members of staff, i.e., one researcher and one assistant, are necessary to be present when running an experiment with one subject.
A risk assessment must be carried out once the pregnant has made her manager aware of her pregnancy.

Last person leaving a room/area (even if there may be someone else around), should lock windows and doors, and turn off the lights in the interest of security and of course the environment!
The reception area will be locked outside working hours (9:00-17:00).

DCAL has secure and covered bicycle storage, located in the basement under the street in front of DCAL. Access to this area is via the black gate at street level (to the right of the front door of DCAL as you face the building).
There is a combination lock (code A) at the street-level gate. Downstairs at basement level, there are gates to each of the two bike sheds with combination locks (both locks have the same code - code B). Codes A and B can be found on the inside of the key cabinet in DCAL reception. Note that the locks can sometimes be difficult to open/lock due to weather wear. To open a stuck lock, try holding it in one hand horizontally and banging the bottom of it with your other hand so that the silver part hits the gate.
While these sheds are relatively secure compared to other bike storage at UCL, care should be taken when entering or exiting the bike shed area, particularly at night. (There is a motion-sensitive light at basement level.) Bicycles are left at the owner's risk. You may want to lock your bicycle inside the shed as well for extra protection. Make sure that you leave enough room for other cyclists to get their bikes in and out. Note that a few cyclists from next door also park their bikes in the DCAL sheds occasionally.
Make sure you always lock up (all combination locks) after exiting the bike shed area.

The building is cleaned and bins emptied daily.
If you have bags or boxes of rubbish, stick a note on for the cleaners indicating it should be removed – under no circumstances should waste be left in a fire escape route prior to collection.
If paper, soap, etc. runs out in the toilets, again do leave a note for the cleaners.
The kitchen is cleaned by the cleaners but all users will be responsible for their own washing-up. A kettle, microwave, mugs, etc. are available for staff use. The lounge on the 4th floor is used as a breakout room for all DCAL staff.
