Requesting workspace
The DCAL workspace committee consists of the DCAL Administrator and DCAL Deputy Director. This committee meets as and when needed, when requests are submitted.
Current workspace allocations
Workspace for staff or research students should be requested as soon as possible in the process of applying for funding or studentships, no later than the application date. Workspace for visitors should be requested as early as possible in the process of arranging for visitors, before the visit is agreed.
In all cases, workspace must be requested no later than 4 weeks before the start/arrival date.

Note re students: PhD students typically have space within their home departments which may be preferred, in which case they may hotdesk at DCAL.

How to book the library: Internal Bookings (Guide)
- Log in to the DCAL Web Calendar here: https://roombookings.pals.ucl.ac.uk/booking_new.php
- In the menu options at the top of the page choose: Views – Another Users Calendar

- In the drop down box select Library Bookings to view the Library Calendar.
- Choose the date you wish to book – above the calendar are options to choose Month, Week and Year. Alternatively you can use the arrows to move forward/backward 1 week at a time.
- Once you have chosen the date & time select the + symbol

- Fill in the details in the Add Entry (event) page
- There is no option to choose an end time, instead enter the length of the event.
- For example, if you wish to book between 12pm-2:30pm. Enter a start time of 12pm and Duration of 2:30 (hours: minutes).

- Click Save
- This will send you back to your personal calendar.
- If you wish to check it has been added you will need to select again the ‘Library bookings’ from the drop down menu
- You can amend the booking by selecting it in the calendar it appears and choosing Edit Entry

- If you wish to book the library on multiple dates at the same time choose the option of ‘Repeat’ in the Add Event pages
- The manual option allows you to choose multiple random dates
- Choose the date you wish to book and select Add Inclusion.
- Repeat until you have added all your desired dates and select save.

Library - External Bookings
Information and terms for use
- The DCAL Library can comfortably hold a maximum of 20 people for meetings and can only be used between 9.30 and 5.00 Mon-Fri. Telephone, fax and photocopying facilities are not included.
- The Ground Floor office is a quiet working area. Hallways and stairwells must be kept clear at all times and must not be used as breakout areas.
- We cannot provide any refreshments but can assist you with information about catering.
- Mobile phones cannot be used in hallways, stairwells or reception area.
- Event organisers will be liable for any damage or breakages.
- Please email details of your event (date, time, number of participants) to dcal@ucl.ac.uk
- Once you have received confirmation of your booking, please provide a list of participant names at least two working days before your event.
- All your participants should be provided with name badges to wear whilst they are at DCAL and sign in and out of the building.
- Please ensure that one of your team is available to take responsibility for the event/meeting – including meeting and greeting participants and dealing with any catering.
- Event organisers will be responsible for their participants whilst they are in DCAL. Please brief your participants about our emergency evacuation procedures (information provided below) prior to the start of the meeting. Note: you will be informed if there is a planned fire drill on the day of your booking.
- Please ensure that all your participants have left the building and that the windows are closed and the room is tidy when you finish.
We reserve the right to refuse the use of our facilities if the above terms are not followed.
Please read this to attendees at the start of the meeting – First Aid
Located in the landing area of each floor is a green First Aid sign. This has information regarding DCAL appointed first aiders and where the nearest first aid box is situated.
Evacuation procedure - In case of a fire
The fire alarm will ring and the stroboscopic (red) lights will flash. Please evacuate the building immediately, do not stop to collect belongings.
Take the stairs and exit through the front door, then wait on the opposite side of the street. If you are unable to exit through the front door, please use the fire exit doors located on each floor, these will allow you to exit through the neighbouring building.

Building Maintenance Requests
On-line Maintenance request forms
For all staff to use and can be found here: https://www.ucl.ac.uk/estates/maintenance/service-requests/. You have to enter your UCL ID and password.
Note: You can also raise service requests by emailing efdservices@ucl.ac.uk or by telephoning extension 30000 where a member of the Customer Services Centre will deal with your request.
These forms must be used for:
- Porters – to avoid problems, be very clear (e.g. exactly what you want moved, from where to where and indicate there is no lift in this building) Reporting maintenance problems (e.g.
- radiator not working Request work (e.g. new shelves). These jobs incur charges so you will be asked to send in an Interdepartmental Transfer form (IDT). Please make sure you have
- permission before you put in these requests!
DCAL students/visitors
You will not have access to this service request system. You will need to email through any requests to efdservices@ucl.ac.uk.
Please make it clear in the subject line the building and the room number e.g. 49 Gordon Square, Room G01, Problem with lighting
Within your email add as much detail as possible and inform estates that you are a student/visitor so cannot report via the service request online system.
Tips
- Include your contact details, room number (all rooms in this building are prefixed by '49' e.g. room 201 should be 'room 49201')
- Make sure you highlight that the building is number 49 Gordon Square and include detailed descriptions/instructions in your request
DCAL Christmas Newsletter: Task Timeline
