Festival 2025 Logistics

Joining us for the 2025 UCL Festival of Digital Research, Innovation and Scholarship? Here's everything you need to know on the day.

 

 

 

Venue

We're split over two sites due to numbers (as UCL's Cloisters aren't available unfortunately). With the exception of some workshops, events will be held in the Roberts Building and the Darwin Building.

Darwin Lecture Theatre (note the entrance is from the back of the building, rather than on Gower Street - turn left out of the Roberts building, then left down an alleyway - we'll have signs to help)

Roberts Building (immediately on the left as you walk in through the gates from Malet Place, opposite Waterstones)

Main Campus Entry/Access

The Festival will be hosted in the Roberts Building, the Darwin Building and surrounding rooms, located in UCL’s Main Campus - see below for map.

All UCL staff and students will be expected to bring their ID cards, and ‘tap’ accordingly at the entrance point.

If you are attending as a ‘visitor’ to UCL, please inform the security staff you are ‘attending the Festival for Digital Research’ when prompted. Please download your Pretix ticket as you may be asked to show it. If you are unable to locate your ticketing email, please contact us ASAP and we will resend this to you.

Event Photographer

As noted during the registration process, photos and/or videos will be taken throughout the event and may be published to our website, social media, or other material.

If you do not wish for images and/or videos of you to be used for marketing and/or promotional purposes, please ensure to collect a red-dot sticker upon arrival to the Festival and wear this throughout the day.

Whilst you may still be inadvertently captured in a photo/video, the red-dot will serve as an indication for us not use these photos.

Red-dot stickers can be collected from our Festival Support Team.

Wifi Access

UCL staff and students can connect to Eduroam as usual.  Guests can connect to the UCL Guest network.

Registration by Surname

Registration opens at 9.00am

If your surname begins with A - H, you can pick up your badge in the Roberts Foyer. If your surname begins with I - Z, you can pick up your badge outside the Darwin Lecture Theater.

 

If you haven't registered, or don't see your badge on the table, the team will need your name, surname, e-mail address and UCL department/organisation name and we'll be happy to issue a badge.  

 

Programme

Detailed programme, including sessions, locations, speakers, abstracts, prize eligiblity and voting instructions  (PDF)

Tea/Coffee/Lunch/Reception

We'll be serving tea, coffee, lunch and drinks in the Darwin and Roberts buildings.  You're free to move between buildings (subject to overcrowding), or take a boxed lunch outside into the sun (we have boxes available).

Allergies

If you listed specific allergies when you signed up, you will have been sent a menu with options.  If you made choices from the menu, a meal will be set aside for you in the Roberts building.

Posters

All posters are on display in the Roberts Foyer.  Please make sure you take time to look at them, chat with the authors and vote for the best posters.

Festival Support Team

Our team will be onsite all day to ensure you have an enjoyable Festival.

As well as fulfilling a range of ‘behind-the-scenes’ tasks, they will be able to answer your programme queries, direct you to the correct room/area, and more.

The Festival Support Team will be identifiable by wearing 'ARC' stickers
