Moving out and moving on

A quick guide to checking out of UCL Accommodation to help you check-out smoothly and avoid any unexpected fees.

Thank you for living with us. We hope you have had a great year! Please find important information regarding your move below.

1. Leaving your room

On your final day in UCL Accommodation, you must complete the check out process by 10am.

Your final day depends on your contract. Review your contract details on the Fees, guidance, and payment page. 

Leaving before your contract ends

If you are planning to leave earlier than the date specified on your contract, please let us know by going to the UCL Accommodation Portal, selecting the ‘Notice to Quit’ tab and completing the required details.

It is your responsibility to find a suitable replacement student to take over your Accommodation. Until a suitable replacement student takes over your contract, you will remain liable for your accommodation fees. 

Your replacement student must: 

  • be a UCL student 
  • not currently live in UCL Accommodation
  • apply for UCL Accommodation
  • be at the same level of study as you (eg. If you are a postgraduate student, your replacement must also be a postgraduate) 

 2. Packing and Moving

You are responsible for packing and moving your own belongings. This includes providing your own packing materials and boxes.  
 

When packing, please do not leave items outside your room, in the corridors, or obstructing the lift doors. These are essential escape routes and need to be kept clear for an evacuation in the event of an emergency. 

All rubbish should be disposed of using the appropriate waste and recycling facilities available in your Hall. 

If you need help, you can bring guests to assist with packing your room, but they must stay with you at all times. 

Leaving your room clean 

To avoid cleaning charges, make sure your room (and ensuite, if applicable) is thoroughly cleaned before you leave. In shared kitchens, remove all personal kitchenware and food from cupboards and fridges. 

Leaving items behind

You may leave coat hangers in your wardrobe.  

All other items left in your room, kitchen or bathroom after you have left your Hall and returned your keys, will be assumed to be unwanted and will be disposed of.  

If you leave any belongings behind when your License Agreement ends, UCL will charge you for any costs incurred, including storage fees.

Sell it

If you’d rather earn a bit of money while keeping your items in use, try selling them through the Hazaar app, an online marketplace where you can sell to UCL students directly.

Store it

If you can’t take everything with you, LOVESPACE offers a storage-by-the-box service. They can collect on the day of your choosing, store for as long as you need, and deliver back to any address in the Mainland UK. You can even order packing materials to arrive beforehand.

Post

Clear your mailbox and update your address on UCL Portico, with your bank, and on any other services. After you move out, any parcel that cannot be returned will be held for 21 days. During this time, we will make attempts to contact you. You must arrange collection and cover any associated costs. After 21 days, unless we hear from you, any unclaimed parcels will be either donated to charity or disposed of.


3. Returning your keys

When you move out of the building, you will need to sign out and return your keys at reception by handing the keys to the Hall Team. 

If the reception is closed, you should leave your keys in the office door letterbox in an envelope indicating your room number. 

If you do not return your keys, you will be liable for future accommodation fees and charged for a replacement set and a lock change. Details of all charges can be found in the ‘Leaving your Hall’ section of the UCL Accommodation General Regulations.  


 4. Remaining credit

If there is credit left on your accommodation account, this will be automatically refunded to your UK bank account.

We aim to return a credit balance left within 28 days from the end of your accommodation contract.
