Job Title: iLAC Administrator
Department: Centre for Access to Justice, UCL Faculty of Laws
Location: UCL Integrated Legal Advice Clinic, Stratford
Salary: £16.37 per hour
Hours: 22.5 Hours
Available: Immediately
Responsible to: CAJ Clinic Manager
This post is available for 6 months in the first instance and may be extended subject to funding and staffing needs.
You must have the right to work in the United Kingdom. Please note that this is not a remote position.
Context
The Centre for Access to Justice (CAJ)
The Centre for Access to Justice at UCL Faculty of Laws aims to provide significant benefit to, and strengthen links between, the local community, UCL students and the professions. Importantly, the Centre combines the unique advantages of social justice education with the provision of pro bono legal advice to vulnerable communities.
Our activities assist individuals in areas where legal advice and representation is most needed as well as providing rich educational value to UCL students in the Faculty of Laws.
The central mission of the Centre is to promote access to justice through research-led teaching and activities. This is achieved through five core objectives:
- To provide holistic and high quality legal advice and representation to members of the local community who would otherwise be unable to afford it
- To engender an awareness of social justice issues in our students and foster a commitment to public interest work
- To implement innovative teaching and learning methods
- To develop our students’ ethical and professional awareness
- To shape and develop policy agendas underpinned by robust and rigorous research
Since January 2016, The Centre for Access to Justice has been successfully running the UCL Integrated Legal Advice Clinic (UCL iLAC), a student legal advice clinic in Stratford. Deeply embedded within the teaching and learning provision at the Faculty of Laws, the Clinic offers general legal advice across a spectrum of social welfare and family law issues as well as specialist casework services in welfare benefits, housing, and community care.
Main Purpose of the Job
The iLAC Administrator will work closely with Clinic staff to support and ensure the smooth day to day running of the UCL Integrated Legal Advice Clinic
Duties and responsibilities:
- Be the first point of contact for UCL iLAC client enquiries and assist with new enquiry management.
- Be responsible for answering the clinic phone and uphold clinic policies and procedures.
- Support the Clinic Manager with supervision of student volunteers carrying out initial triage, arranging appointments, signposting etc.
- Contribute to maintaining detailed, accurate and updated client records according to UCL iLAC case management systems.
- Assist with data collection, sending routine letters and making client appointments and file management.
- Support the Clinic Manager with data protection, retention and destruction processes and ensure that data is retained and destroyed in accordance with clinic policies.
- Support Clinic staff with coordinating clinic projects with partner organisations.
- Assist with other ad hoc administrative tasks.

- The post holder will be expected to actively follow UCL policies including Equal Opportunities policies.
- The post holder will be expected to maintain an awareness and observation of Fire and Health & Safety Regulations.
- As duties and responsibilities change, this job description will be reviewed and amended in consultation with the post holder.
Selection Criteria
Essential
- Experience in customer facing or administrative role.
- Excellent written and verbal communications skills with the proven ability to communicate non-routine matters clearly, both verbally and in writing.
- Experience of organising your own work within deadlines and with competing demands. Able to work proactively under pressure and meet tight deadlines.
- Demonstrable experience of being able to work effectively both independently and collaboratively as part of a team.
- Ability to use IT to monitor and maintain casework systems and procedures.
- Excellent organisational skills are essential.
- Excellent IT skills, including proficiency in Microsoft Office packages (Word, Excel, PowerPoint), databases, email, social media.
- Excellent interpersonal skills with the ability to develop relationships with a broad range of stakeholders including partner organisations, staff and students.
- Ability to uphold key clinic policies and procedures about Confidentiality, Safeguarding and Data Protection
- Committed to your own ongoing professional and personal development.
- Excellent attention to detail.
- Good communication skills.

- Knowledge or appreciation of access to justice issues in a UK context.
- Experience of working in a pro bono clinic, CAB, Law Centre, or equivalent.
- Experience of supervising others and an ability to develop and motivate people.
