Appointment of Professors at UCL

Academic Services co-ordinate the process for recruitment and selection of candidates for appointment to established Chairs and Readerships at UCL (as well as the processes for appointing to a named or other professorial Chair at UCL an individual who is already a Professor at UCL or elsewhere in the University of London). Academic Services has similar responsibilities for the appointment of Readers.

(NB The Human Resources Division, not Academic Services, co-ordinates UCL’s annual senior academic staff promotions process (for promotion to Professor, Reader etc). The HR Division is also responsible for administering and advising on the appointment of Emeritus Professors and Readers, Honorary Professors and Visiting Professors etc.)

Key responsibilities

The key responsibilities of Academic Services in the process include:

  • arranging for the membership of the appointment panel to be formally established as a working group of the Academic Board ('ABWG');
  • inviting prospective members to serve on the panel;
  • arranging for the draft advertisement and further particulars to be placed in the required publications, via ROME;
  • administering applications received through the ROME system and distributing to members of the appointment panel;
  • preparing follow-up correspondence to candidates;
  • co-ordinating interview arrangements including liaison with short-listed candidates and appointment panel members with regard to their attendance, and assisting with accommodation arrangements as necessary;
  • requesting references for short-listed candidates;
  • servicing meetings of the recruitment panel, and producing a confidential note of all meetings;
  • submitting requests for issue of Chair contracts to HR, via SiP;
  • processing expense claims from candidates and external expert advisers to the appointment panel.

Please note that Academic Services is not responsible for the following [responsibility indicated in brackets]:

  • writing the text of advertisements / further particulars [Department / Faculty];
  • arranging for candidates to give presentations outside the formal interview, or to make informal visits to departments [Department];
  • making applications for Certificates of Sponsorship / UK work permits [Human Resources / Department];
  • submitting contract requests for Readerships through SiP [Department];
  • issuing contracts or offer letters [Human Resources / Chair of ABWG].
