Filtering spam with Outlook 2007

You can filter Spam so that it is either permanently deleted or move it to another folder such as Trash.

Please note: The following instructions explain how to set up a general rule to remove email tagged as {SPAM}. Blocking specific senders or domains is often an ineffective strategy against most spam because proficient spammers constantly change their identities and email addresses.

1. Click on Tools > Rules and Alerts

2. Click on New Rule

3. Under Start from a blank rule and select Check messages when they arrive Click Next.

4. In the Step 1: Select condition(s) box, click in the box next to with specific words in the subject so that a tick appears.

5. In the Step 2: Edit the rule description box, click on the underlined value "specific words" (as shown above).

This will launch the following Search Text box. 

6. Type {SPAM?} as shown below, and click on the Add button.

This will then move the {SPAM?} tag to the Search list and quotes (") will automatically be added.

Click OK.

You will see that the previously underlined value "specific words" has now changed to {SPAM}:

7. Click Next.

Now you need to decide what you want to do with the SPAM. Do you want to delete it or move it to a different folder?

  • If you want to delete, proceed to step 8.
  • If you want to move the messages to another folder, skip to step 9

8. To delete SPAM, click in the box next to delete it so that there is a tick displayed as shown below.

Click Next and now skip to step 13

9. To move the SPAM messages, click in the box next to move it to the specified folder so that a tick is displayed as shown below.

10. In the Step 2: Edit the rule description box (shown above), click on the underlined specified, which will launch the following box:

11. You will see Personal Folders and IMAP folders.

Select the IMAP tree so that all of your folders are listed (click on the plus icon). Then select the mailbox which you would like your SPAM Mail to be moved to.

Outlook 2007 already gives you a Junk Mail folder listed along with your other IMAP folders, you can use this one if you choose:

12. Click OK then click Next

13. Another box will appear requesting that you select any exceptions. Ignore this box by clicking on the Next button again.

14. The following will be displayed. Enter a rule name such as {SPAM?} or SPAM Filter - or whatever you prefer.

11. Click on Finish. You will now see the rule you have just created listed. Finally click OK.

All SPAM delivered to your account will now be deleted or moved to a specific folder depending on the choice you have made.
